Band 3 Higher Clerical Officer required on a temporary basis based in Antrim
Role: Band 3 Higher Clerical Officer
Rate of Pay: £11.67ph
Location: Antrim
Hours: 37.5
Duration: 3 Months
Main duties/Responsibilities:
The post holder will work as part of the administrative team providing a full range of clerical duties as delegated by the Officer Manager to ensure a smooth running, high quality service the directorate. He/she will be expected to work under pressure without direct supervision.
·Input and extract information from the laboratory computer system. ·Prepare and process reports and despatch mail. ·Open, sort and distribute mail to the department. ·Take appropriate action in relation to mail, telephone and other enquiries ensuring effective messaging and "bring forward" systems are in place and necessary follow up action is taken. ·File and maintain and effective filing system for confidential laboratory reports. ·Maintain and update spreadsheets and databases. ·Maintain and update manual records as required. ·Receptionist and general typing duties. ·Make appointments and maintain diary appointment system. ·Provide basic secretarial duties. ·Deal with enquiries ensuring preservation of patient confidentiality at all times. ·Deal with telephone queries which will include taking and passing on clear and concise messages and obtaining and passing on information. ·Liaise with outside agencies and other disciplines, dealing with enquiries as appropriate. ·Assist other clerical and secretarial staff where necessary. ·Maintain staff relationships and morale. ·Maintain confidentiality within and without the workplace at all times. ·Become familiar with routine clerical work in all departments of the laboratory. ·Participate in extended day, weekend and Bank Holiday rotas as required. ·Any other relevant duties as assigned by the Head of Service for Laboratory Services. |
Essential Criteria:
* (a) 4 GCSEs (Grade A - C) to include English Language and 1 years clerical/administration experience in an office environment to include the use of Microsoft Office suite packages.
OR
(b) GCSE English Language (Grade A - C) plus 2 years clerical/secretarial experience in an office environment to include the use of Microsoft Office suite packages.
In addition to (a) or (b) applicants must possess Functional Skills ICT Level 2 or OCR Text Processing (Business professionals) Level 2 Award or RSA Stage II typing/word processing (both parts) or equivalent.
