The Opportunity and Company

Our client specializes in providing engineering and project management services with a particular focus on the renewable energy sector (including offshore wind). Due to an increasing volume of upcoming projects, they are recruiting two new Project Assistants to join their team. Primarily this role supports the renewables division of our business, supporting the operations teams both at home and away, as well as ensuring that associated administration is completed accurately and on time. The successful candidates will take a hands-on role, leading on general project administration, managing diaries, and liaising with senior project stakeholders.

Main Tasks

  • Sourcing flights, accommodation, and car hire within a set budget and criteria, depending on the project.
  • Handling passport and visa applications, ensuring awareness of lead times.
  • Assisting with the preparation and submission of compliance documents for site entry.
  • Preparing and organizing project cost estimates in a clear, structured manner.
  • Taking minutes during regular project meetings and distributing notes and action items to the team promptly.
  • Managing time sheets for weekly payroll by communicating with Installation Leads to gather details on hours worked, site downtime, holidays, and other relevant information.
  • Performing general administrative duties and managing diaries.
  • Answering calls and directing them to the appropriate departments.
  • Welcoming visitors, ensuring meeting facilities are tidy, andorganizing refreshments when needed.

    Criteria

  • Previous experience in a similar role is essential, or if you have worked within a fast-paced and agile environment.
  • Proven experience of being able to manage multiple tasks simultaneously
  • The ability to manage time (yours and for others) is a key part of this role - so you'll need to have experience in diary management or organization.
  • Strong MS Office experience would be ideal (Word, Outlook, Excel, Teams)
  • Previous experience using XERO would be ideal, but full training will be provided.
  • Procurement experience, including sourcing prices, materials, and liaising with suppliers may also be advantageous but not essential
  • Exceptional organizational skills
  • Time management is essential as it's critical that all tasks are managed within deadlines, efficiency is important in this role.
  • Flexible in your approach, and agile in your response
  • Excellent attention to detail is essential and must have the ability to multitask.
