The Opportunity

Our client a leading property management and lettings agency has a fantastic opportunity in their Belfast office as an Accounts Payable Manager - the successful candidate will lead and oversee the accounts payable function for the company.

This position involves managing landlord and tenant payments, ensuring accurate financial records, and the maintenance compliance with company policies and regulatory requirements. Moreover, the ideal candidate will have previous property management finance experience, fantastic organisational skills, and a proactive approach to process improvement.

Key Responsibilities

Accounts Payable Management

  • Oversee accounts payable, including accurate invoice processing, payment runs, and reconciliations.
  • Ensure all vendor invoices are reviewed, approved and coded correctly with company policies.
  • Manage supplier and contractor relationships, addressing payment inquiries and resolving any disputes.
  • Manage separate deposit accounts and ensure these balance with TDS, a third party deposit protection scheme.

Financial Oversight and Reporting

  • Prepare and analyse accounts payable reports, monitor KPIs, and collaborate and support the finance team ensuring accurate month-end and year-end close processes.
  • Ensure timely landlord payments, promptly address issues and provide detailed reports to explain irregular charges.

Property Lettings Agency

  • Reconcile contractor payments and verify invoice approvals with property managers to ensure expenses align with property budgets.
  • Track and process landlord payments with transparency and accuracy.

Compliance and Policy Adherence

  • Ensure compliance with relevant financial regulations and company policies.
  • Implement and maintain robust internal controls to prevent errors and fraud.

Leadership and Team Management

  • Develop and implement training programs to improve team efficiency and knowledge.
  • Lead process improvement initiatives to enhance the accuracy and efficiency of accounts payable operations.

Essential Criteria

  • Proven experience in accounts payable or finance roles, with at least 2 years in a managerial or supervisory capacity.
  • Excellent organisational abilities with a keen eye for detail.
  • Ability to manage multiple priorities in a fast-paced environment

Desirable Criteria

  • Professional accounting qualification (e.g., AAT, ACCA, or equivalent).
  • Experience within the property lettings or real estate industry.
  • Familiarity with regulatory requirements, such as VAT compliance for property transactions.
  • Knowledge of property management financial operations, including contractor/vendor payments and landlord reporting.
  • Proficiency in SME software.
