Reception Administrator- Belfast
Location: Belfast City Centre
Grade: Grade 2
Salary £13.47 per hour
About the Role
We are seeking a friendly, professional and customer-focused Reception Administrator to provide a welcoming reception and information service across civic buildings in Belfast city centre.
You will be the first point of contact for a wide range of visitors, including members of the public, tourists, contractors, staff and other customers. The role also involves supporting retail and tour activities, general administration and the smooth operation of reception services.
Key Responsibilities
- Provide a professional, friendly and efficient reception service to visitors, staff, contractors and members of the public.
- Issue visitor and contractor passes and provide directions when required.
- Assist with the operation of retail areas, including displaying, selling, replenishing and taking stock of merchandise.
- Receive telephone and in-person enquiries and make bookings for tours.
- Assist visitors and members of the public with evacuation procedures and emergency arrangements.
- Operate public address, access-control and automated reception systems when required.
- Support postal duties, including sorting incoming mail and preparing outgoing post.
- Carry out other relevant duties as required.
Essential Criteria
Applicants must have at least one year's relevant experience in each of the following areas:
- Providing a reception service, preferably within a large organisation.
- Dealing with enquiries from internal and external customers both in person and over the telephone, while providing a high standard of customer service.
Applicants must also demonstrate:
- Communication skills: Ability to communicate effectively both verbally and in writing.
- Customer service skills: Ability to deal professionally and effectively with customers and create a positive impression.
- Organisational skills: Ability to prioritise workloads and meet team objectives.
- Teamworking skills: Ability to work independently and as part of a team, make decisions and contribute to service improvements.
- IT skills: Ability to use basic Microsoft Office packages.
- Health and safety awareness: A good understanding of basic health and safety responsibilities.
