Staffline are recruiting on behalf of NHSCT for a Band 3 Ward Clerk required on a temporary basis based in Whiteabbey.
Role: Band 3 Ward Clerk
Rate of Pay: £12.31ph
Location: Whiteabbey
Hours: 37.5 hours per week
Duration: 3 Months
Main duties/Responsibilities:
The postholder will provide a high level clerical service to Consultants, Medical Staff and other Professionals at ward level and work as an integral part of the team. The postholder will be expected to work under pressure without direct supervision. As the post holder will be ward based, they may be exposed to odours and will have sight of specimens taken for investigations. The postholder will use EPIC/Encompass system and full training will be given.
Communication
- Act as first point of contact on ward bases for all disciplines and visitors to the department.
- Answering telephone queries ensuring that messages are recorded correctly and passed on to the appropriate person.
- Liaising with GP surgeries, medical and nursing staff, multi-disciplinary team members, other hospitals, medical records departments etc.
- Frequent communication with distressed patients and relatives.
- Ensuring timely preparation of documentation for coding staff. Liaising with Clinical Coding Department to ensure that clinical coding is completed at the time of discharge from the ward.
- Booking of ambulance transport for patients on discharge or transfer. Booking of ambulance transport for investigations on other hospital sites.
- Inform Dalriada Doctor of deaths of patients on ward.
- Co-operate with nursing, medical and nursing assistants to ensure that effective relationships are maintained within the ward/department team.
- Arrange interpreters for the ward when needed using correct processes and procedures.
Information systems
- Record all admissions, discharges and transfers on the ward promptly on EPIC ensuring that demographic details are updated accurately.
- Ensure adherence to NHSCT policy on POPI.
- Use of email and adherence to the NHSCT Email Policy.
- Use Trustwide and departmental computer systems in line with the Trust's Information Management and Technology Strategy.
- Use of Microsoft office applications including email; word documents and excel.
- Undertaking any other duties appropriate to the band as assigned by the Administration Manager.
- Use of VDU equipment continuously for significant proportion of the day.
- Inform IT Department if any issues arise with IT systems and follow up until response.
General Duties
- Provide a clerical service to the Ward/Department Manager, Nursing Staff and other professionals.
- Distribution of incoming and outgoing mail.
- Order and maintain an adequate supply of stationery as required by the ward/department through non stock, stock and high density storage system.
- Ensure confidentiality is maintained.
- Ensure adherence to NHSCT policy on Infection Control/Bare below the elbow.
- Provide emergency cover for colleagues on a short-term basis.
- Photocopying, scanning and filing for the Department in accordance with Trust Policies and Procedures and maintenance of the same.
- Report of faults to Estates Department, IT Department and telephony.
- Maintain a high standard of service including good timekeeping in the workplace as required to meet the needs of the service.
- Report accidents/incidents immediately to the Nurse in Charge, and provide information as required in the investigation of same, both verbally and in writing as required.
- Maintain knowledge of and work in accordance with Trust policies and procedures.
- Attend training programs as required.
- Assist in the training of new staff to ward/department as requested.
- Ensure that complaints, suggestions or queries are reported immediately to the Senior Sister/Charge Nurse/Manager (as appropriate).
- Organising and prioritising own workload on daily basis within the Department whilst dealing with frequent interruptions.
- Daily cleaning of notes trolleys, phones and computer with appropriate cleaning product as defined by Infection Control.
- Undertake any other duties as required under the direction of the Sister/Charge Nurse.
Essential Criteria:
- 4 GCSEs including English Language (Grade A - C) or equivalent and 1 years clerical experience in an office environment to include the use of computerised systems eg Microsoft office

- 3 year's clerical experience in an office environment to include the use of computerised systems eg Microsoft office
