Sales & Purchasing Assistant
Hours: Monday - Friday 9am - 5.30pm
Salary: £28,000 - £30,000
Staffline Ireland, we are currently recruiting on behalf of our Newry-based client for an enthusiastic and highly organised individual.
The Sales & Purchasing Assistant supports both the commercial and procurement functions within a pharmaceutical business. The role ensures smooth coordination between suppliers, wholesalers, regulatory teams, and logistics partners to maintain product availability, competitive pricing, and compliant operations.
The assistant will manage daily purchasing tasks, support sales order processing, maintain product data accuracy, and help optimise stock levels.
Responsibilities:
Sales Support
- Order processing - Manage customer orders, confirm stock availability, and ensure timely dispatch.
- Customer communication - Respond to queries from wholesalers, and distributors.
- Price list management - Maintain and update customer price lists across markets.
- Sales reporting - Assist with weekly/monthly sales performance reports.
- CRM updates - Keep customer records, contacts, and sales notes up to date.
- Outbound logistics support - Liaise with freight partners and warehouse teams on outgoing shipments.
Purchasing Support
- Supplier coordination - Communicate with the EU buying team to confirm availability, pricing, and lead times.
- Purchase order creation - Raise POs, track confirmations, and monitor delivery schedules.
- Stock level monitoring - Support inventory planning to avoid shortages or overstock.
- Cost comparison - Compare supplier quotes to ensure competitive purchasing.
- Inbound logistics support - Liaise with freight partners and warehouse teams on incoming shipments.
What you need to have:
Experience
- Industry experience - Experience in pharmaceutical, wholesale, or parallel import preferred.
- Education - Business, supply chain, or related qualification desirable.
- Systems experience - ERP and Excel proficiency preferred.
Technical Skills
- ERP proficiency - Experience with ERP systems preferred.
- Excel competency - Strong skills in spreadsheets, VLOOKUP, pivot tables.
Soft Skills
- Attention to detail - Essential for product codes, pricing, and documentation.
- Communication - Clear communication with suppliers and customers.
- Organisation - Ability to manage multiple tasks and deadlines.
- Problem solving - Ability to resolve order or supply issues quickly.
- Team collaboration - Work closely with sales, purchasing, QA, and warehouse teams.
- A good team player with high energy who is motivated by the opportunity it brings to broaden your knowledge and skills in the pharma sector.
- An open and effective communicator, interested in contributing to the success of the department, and driving forward smart working models and process improvement.
- You will have experience of working in a sales, purchasing, procurement or buying department in a fast paced environment, where you had an opportunity to gain a broad understanding of all related sales and procurement processes
