Job Title: Estate Services Systems and Data Officer

Location: Antrim Civic Centre

Duration: 6 Months

Rate of Pay: £20.66

Job Purpose

To manage and develop the Estate Services Asset Management System, ensuring accurate, secure and effective asset and energy data management. Provide system support, reporting, training and process improvement, while supporting energy management and Estate Services projects.

Key Responsibilities

  • Manage and continuously improve the Asset Management System and associated processes.
  • Maintain data accuracy, integrity, security and GDPR compliance.
  • Provide first-line system support and resolve user queries.
  • Develop user guides, procedures and deliver system training.
  • Produce accurate asset, energy, management and statutory reports.
  • Monitor energy data, investigate issues and support energy efficiency improvements.
  • Maintain Display Energy Certificates and coordinate energy reporting.
  • Develop workflows, processes and systems to improve efficiency.
  • Work with IT, stakeholders, suppliers and contractors to deliver service improvements.
  • Monitor KPIs and SLAs and recommend corrective actions.
  • Support Estate Services projects and deputise for the Projects Officer when required.
  • Maintain accurate electronic and manual records.
  • Identify relevant energy-saving funding and grant opportunities.
  • Provide high-quality customer service and contribute to corporate and cross-service initiatives.
  • Undertake other duties and provide flexible support during emergencies as required.

Essential Requirements

  • Degree or equivalent qualification in a relevant discipline, or 4 years' relevant experience.
  • At least 2 years' experience administering an Asset Management System.
  • Experience supporting users and resolving challenging system queries.
  • Strong Microsoft Office skills, particularly Excel and Word, and MS Teams.
  • Excellent attention to detail, analytical and problem-solving skills.
  • Strong report writing, communication and interpersonal skills.
  • Ability to meet deadlines and work effectively with staff at all levels.

Desirable

  • Relevant professional qualification/membership such as CIOB or IWFM.
  • Experience in energy management.
  • Experience developing automated systems and business processes.
