My client a leading public sector organisation in Belfast are currently seeking a Hospital Specialty Training Executive Officer
Hours: This post is available immediately. The hours of work will be 37.5 hours per week, 9.00am - 5.00pm Monday to Thursday & 8.30am - 4.30pm on Friday.
Pay: £12.86 per hour
KEY DUTIES / RESPONSIBILITIES
1. To coordinate the organisation of Specialty Recruitment within the Hospital Specialty Training Department in line with National Guidance. This will include: * Liaising with Lead Educators to determine the process of recruitment * Create and manage vacancies via the online application system * Coordination of dates and panel membership for shortlisting and interviews, ensuring at all times that there is compliance with equality and diversity legislation * Coordinate interview schedules * Ensuring all documentation for interviews is prepared * Assist with the arrangements for pre-placement checks, including references for those appointed. * Provide advice and information to panel members as appropriate Allocation of Placements
2. To coordinate the allocation of placements for Specialty Schools in accordance with the NIMDTA Allocation of Placements Policy. This will include: * Liaising with Lead Educators to finalise the allocations * Informing the Local Education Providers (LEPs) of the placements in line with the Service Level Agreements * Informing the junior doctors of their placements in line with the Code of Practice
3. To administer the Annual Review of Competency Panel (ARCP) process for hospital specialty trainees in accordance with NIMDTA policy and the Gold Guide (reference guide for Postgraduate Specialty Training in the UK), to include: * Coordination of dates and schedule of assessment * Circulation of materials prior to assessment and collation of trainee's documentation * Circulation of documentation to the relevant Royal Colleges or Faculties
4. To assist the Revalidation Executive Officer in ensuring that all relevant information is available to enable the Responsible Officer to make revalidation recommendations on behalf of the trainees being assessed. Specialty School Boards & Training Committees
5. To service Specialty School Board and Training Committees to include: * Communication with members regarding meetings * Preparing Agendas and recording action logs * Circulating actions logs following the meeting in a timely manner * Undertaking own follow up actions as required * Providing advice and information to the Specialty School Board and Training Committees 6. To collate and prepare documentation for the Annual School Review process
Essential Criteria
GCSE Maths and GCSE English (A-C) OR equivalent qualification to demonstrate literacy and numeracy OR higher qualification AND 2 A Levels OR equivalent OR higher qualification AND 18 months' relevant experience* OR A minimum of 3 years' relevant experience* * Relevant experience is defined as working in an office environment carrying out administrative duties such as preparing letters/ correspondence, maintaining systems/ databases, communicating with stakeholders.
Hold a current full driving licence which is valid for use in the UK and have access to a car on appointment.
Ability to maintain and improve services, systems and customer service to meet high standards of quality and professionalism. 5. Ability to ensure a high level of accuracy in own work. 6. Ability to plan ahead and work to deadlines, including prioritisation of own workload and that of others. 7. Ability to manage, analyse and evaluate information to aid effective decision making. 8. Ability to plan, allocate and evaluate work for staff and self.
