Our client, a leading technology company based in New York are currently seeking to recruit a Personal Assistant to join their team.

The position is permanent and fully remote.

Paying an attractive salary of 30,000 Euros (£25,098) per year plus company benefits and the chance to progress within a fast growing company!

Working Monday to Friday 0900-1700 (New york time zone)

Role Overview:

We are seeking a highly proactive, tech-savvy, and organized Assistant to join their fast-paced and dynamic team and be able to hit the ground running from day one. You'll be working directly with the CEO. You should have exposure to tech startups, understand the rapid-fire nature of growing a company, and be able to take charge of responsibilities independently. This role is for someone who is quick, switched on, and ready to own their role and drive impact.

Key Responsibilities:

● Calendar and Scheduling Management: Efficiently manage and coordinate calendars, including scheduling meetings with clients, sales calls, and their client's team. You'll engage with customers, partners, and internal teams to ensure all meetings, appointments, and events run seamlessly, keeping everything on track in a fast-paced, high-stakes environment.

● Outbound Sales Outreach: Collaborate closely with the founders on outbound sales efforts, managing communication with potential clients and partners, and scheduling outreach activities to maximize opportunities and growth.

● Research and Strategy Support: Dive into new spaces headfirst, conducting deep-dive research projects to provide insights that will inform and shape business strategies. You'll analyze data, uncover trends, and summarize findings to assist the leadership team in making informed decisions.

● Task and Project Management: Organize and track partnerships using platforms like Hubspot, ensuring deadlines are met and priorities are managed amidst a rapidly shifting workload.

● Document and Presentation Preparation: Use tools such as Google Suite, Notion, and Figma to prepare reports, presentations, and other documents quickly and efficiently, ensuring they are polished and precise.

● Tech-Savvy Problem Solving: You'll be constantly active on Slack, Zoom, Notion, and Google Suite - navigating these platforms with ease and staying ahead of any potential challenges. You should instinctively set up Zoom calls, manage shared documents, and optimize processes without hesitation.

● Travel Arrangements: Coordinate travel logistics for executives, including flights, accommodations, and itineraries, ensuring everything is organized perfectly and quickly, no matter the time constraints.

● Administrative Support: Handle a variety of administrative tasks such as expense tracking, digital organization, and ad hoc duties, making sure every detail is covered and all operations run smoothly.

Qualifications - Experience:

1-2 years of experience as a Personal/Executive Assistant or Project Management role

Tech/Start-up background: some exposure to the tech industry or a startup environment is a must. We need someone who understands the dynamics and pace of a fast-moving tech company.

Deep Tech Fluency: You should be highly proficient with tech tools like Slack, Google Suite, Notion and Zoom. You should be able to set up and manage calls, documents, and communication channels instantly and intuitively.

Exceptional Organizational Skills: Detail-oriented and capable of juggling multiple priorities and shifting tasks in a fast-paced environment, while maintaining precision and focus under pressure.

Strong Communication Skills: Fluent in English, with the ability to communicate clearly, confidently, and professionally in both written and verbal forms. You should be comfortable sending professional emails to clients at large brands. - Proactive and Solution-Oriented:

You need to be a quick thinker, someone who can anticipate needs, tackle problems head-on, and adapt on the fly. We're looking for someone who can independently navigate obstacles and provide solutions and Collaborative Culture.
