My client a leading public sector organisation based in Belfast is currently seeking a Medical Secretary to join their existing team.

Hours: The hours of work will be 37.5 hours per week, 9.00am - 5.00pm Monday to Friday

Pay: £13.57 per hour

MAIN RESPONSIBILITIES

  1. To provide a secretarial and administrative service to Consultant Medical Staff or group of Medical Consultants and their teams as required ensuring efficiency in patient care.
  1. Manage the Consultants/Team diary to ensure effective time management.
  1. To act as a point of contact for all forms of communication between the Consultant, patients, relatives, all hospital staff, General Practitioners and their staff and outside agencies.
  1. Effectively deal with telephone calls from patients, relatives, hospital staff and General Practitioners and other individuals or organizations, taking messages, ensuring follow-up and resolving any problems as appropriate
  1. To type and process clinic and discharge letters using audio dictation, and/or word processing methods as required, and ensure all follow up actions are completed in accordance with local policies and procedures.
  1. To deal with incoming and outgoing correspondence as required, providing information, directing and prioritizing queries as appropriate, to ensure efficiency and effectiveness of service delivery.
  1. To maintain records both manual and computerised in an accurate and timely way and in accordance with local policies and procedures. Extract, collate and summarise data to enable preparation of standard verbal, written or statistical reports or returns.
  1. To liaise with other departments as required both internally and externally to the Trust e.g. other Hospitals, General Practitioners.
  1. Manage Waiting lists in line with standards and protocols.
  1. To manage the tracking of patient records in accordance with local policies and procedures.
  1. Participate in meeting and take appropriate action in line with service provision.
  1. Record and process referrals on the appropriate IT system and undertake checks in line with service protocols and procedures.
  1. Maintain and record information in relation to Statutory procedures and notify appropriate Authority.
  1. To participate in Quality Assurance exercises as required
  1. To ensure that relevant Trust Risk Management and quality assurance policies and systems (including clinical governance and controls assurance) are adhered to.
  1. Lead a team of administrative and secretarial staff to provide a comprehensive service to Consultant medical staff and Clinical team.
  1. Supervise the day to day priorities of the medical secretarial team and delegate duties and responsibilities effectively and ensure distribution of workload is fair and equitable.
  1. Provide supervision of staff including monitoring and recording sickness levels, annual leave and maternity leave etc.,
  1. To assist in the induction and training of new staff to the department as

required. Provide line management support and supervision of staff thus

maintaining a high standard of service to Consultants and the wider team.

  1. To assist in the recruitment and selection of staff, planning and organizing of cover during absence, absence management and staff appraisal as required.[i]
  1. Provide cover for staff during periods of sick/annual leave.
  1. Such other duties as may be assigned.

Essential Criteria

HNC / HND or equivalent / higher qualification in an administrative related field AND 2 years' experience in a clerical / administrative role

OR

4 GCSEs at Grades A-C / 4-9 including English or English Language (excluding English Literature) and Math or equivalent / higher qualification AND 3 years' experience in a clerical / administrative role

OR

At least 3 years' experience as a personal assistant/secretary to include experience of diary management, servicing meetings and minute taking

AND

· Hold RSA Stage 2 Typing and/or Audio Typing or 12 months typing experience, to include the use of Microsoft packages (Eg Word, Excel), typing of reports, formatting & circulation of correspondence.
