Job description
HR Administrator required in Portadown (maternity cover post)
Salary depending on experience
Full time role, 39 hours weekly
Duties
- To assist and support in the confidential delivery and coordination of employee administration;
- Provide proactive support to the HR Manager and functional support the to H&S and T&D Officers.
- Actively work as a team member of the whole HR team to provide a high quality, internal and external customer focussed service
- Maintain and update records, update systems e.g. PMP system, payroll, Sahara etc, produce reports, respond to employee queries, produce letters and supporting documentation, take minutes at meetings, complete forms, collate and administer PMP/PDR documentation, collate information for payroll purposes, produce payslips etc
- Manage 5S programme for HR and manage introduction, provide support, guidance and instruction to for all office areas. Audit all office areas monthly to ensure sustainability and DFT Audit Compliance score.
- Recruitment of temporary employees:
- Advise agency of requirements as per PAP, liaise with Managers, assist with induction administration, complete documentation.
- Recruitment of permanent employees:
- Complete necessary documentation, advertisements etc, shortlist applications, interview candidates, produce offer paperwork, close recruitment file, liaise with background check company, recruiting manager and applicants. Act as decision makers on panels.
- Provide administrative support to the HR Manager as required
- Deal with conflict situations with an empathetic approach in relation to the application of policies and procedures e.g. absence, disciplinary, payroll discrepancies. Auditors for aspects of roles e.g. SMT audits.
- Produce reports on a weekly/monthly basis:
- Plant & Divisional Headcount SOX Listings, DETINI, Divisional reports, supporting documentation for effectivity reports, monthly SMT audits, shutdown reports
- Conduct Risk Assessments in Office & Canteen areas. Assist Engineers in conduction Plant Risk Assessments.
- Handle queries from Managers & Shop Stewards efficiently and accurately and within the parameters of HR Policy & Procedures and relevant Employment Law.
- Highlight issues for improvement/action in order to ensure the continuous improvement of the service provided by this function to internal customers and suppliers.
Criteria
- Educated to GCSE level or equivalent.
- Previous experience of dealing with telephone and personal enquiries, working within a team environment and working with others to resolve problems.
- Prepared to work towards CIPD Certificate.
- Practical experience of using MS Office to include Word, Excel and PowerPoint.
- Practical experience of producing reports and maintaining manual and computer files.
- Proven ability to work confidentially with employee data
- Ability to remain professional and polite under pressure and work in harmony with the HR team.
