Band 4 Admin Services Officer required on a temporary basis based in Ballymena.
Role: Band 4 Admin Services Officer
Rate of Pay: £12.86
Location: Ballymena
Hours: 37.5 hours
Duration: March 2025
The overall purpose of the post is to provide administrative support to the RMHS Project Leads and Project Managers for a range of activities and special projects relating to The Regional Mental Health Service.
KEY DUTIES / RESPONSIBILITIES
- Assisting the RMHS Project Leads and project managers by providing administrative support including typing, photocopying, and diary responsibilities.
- Take appropriate action in relation to email, telephone and other enquiries ensuring effective messaging and bring forward systems are in place and that the necessary follow up action has been taken.
- Operation of the central filing system for the RMHS project, including;
- The creation and maintenance of reference files for project documents in line with Records Management requirements.
- Maintain a robust archiving system to allow for version control of all records.
- To set up and service a range of meetings for Project Board, Project Team and Project Sub Groups and to include;
- the production of accurate minutes
- the timely circulation of appropriate papers including agendas and minutes
- Co-ordination of any action required from meetings to meet deadlines
- Arrange meetings over Teams or where required face to face to include the issuing of electronic invites and booking of venues
- To support RMHS Project Leads/managers by servicing and design of team workshops with key stakeholders by capturing discussions, key decisions and actions.
- Formatting and updating of project documentation.
- Assist the RMHS Project Leads/Managers with all aspects of administration to ensure the RMHS provides a quality service.
- Follow-up of any required action to meet deadlines.
- Create and maintain good working relationships with all individuals (internal and external to the organisation).
10.Any other duties as required to aid the successful delivery of the project stage.
Essential Criteria:
- 2 A levels or equivalent/higher qualification and a minimum of 5 GCSE's Grade C or above, including English and Mathematics (or equivalent/higher qualification) AND 18 months relevant experience* OR
- Three years' relevant experience.
