Document Controller

Our Banbridge based client are currently seeking a highly organised and detail-oriented Document Controller to support our growing portfolio of offsite projects. As an M&E contractor acting as the Principal Contractor, we require someone who can efficiently manage document control processes across all stages of the project lifecycle. You will be responsible for overseeing document platforms such as Viewpoint for Projects and Field View, while providing key administrative support to design, operations, HSE, and commercial teams.

Responsibilities:

Document Management:

  • Manage and maintain the Viewpoint for Projects system across multiple live projects.
  • Ensure all project documents, including design drawings, specifications, RAMS, and commissioning documents are correctly uploaded, version controlled, and easily accessible.
  • Track the internal review and approval process for design documentation, ensuring timely issue to the client for sign-off within agreed timescales.
  • Maintain and update document control logs, trackers, and registers to ensure accuracy and traceability.
  • Ensure all RAMS and commissioning documents are reviewed, approved, and stored appropriately.
  • Ensure Handover documents are processed in a timely manner and checked for quality.

Field View Coordination:

  • Ensure Field View is properly set up and maintained for site teams.
  • Support site teams in completing and uploading forms, checklists, and records in Field View.
  • Populate Field View forms as required

Meeting Support:

  • Attend and take accurate minutes for internal and external project meetings.
  • Distribute meeting minutes promptly and track actions through to completion.

Administrative Support:

  • Provide comprehensive administrative support to the design, operations, HSE, and commercial teams.
  • Support the preparation and formatting of reports, trackers, schedules, and presentations as needed.
  • Assist with collation of handover and O&M documentation

Essential requirements:

  • 1 Years Proven experience in document control within the construction or M&E sectors.
  • Previous use of Viewpoint for Projects and Field View platforms or alternative CDE is essential.
  • Strong understanding of document control protocols and quality standards.
  • Excellent attention to detail and organisational skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, Teams).
  • Strong communication skills, both written and verbal.
  • Ability to manage multiple priorities and meet tight deadlines.
  • Experience working with cross-functional teams and supporting multiple stakeholder

Desirable requirements:

  • Previous Experience of Viewpoint for Projects.
  • Experience of using Microsoft Visio
  • Knowledge of SharePoint

Working Hours: Monday - Monday-Thursday 8am-5pm and Friday 8am-3pm
