Temporary Office Administrator (Accounts Admin)

Duration: 3 months (with potential to extend)

We are currently seeking a Temporary Office Administrator to support a busy and fast-paced organisation within the manufacturing/distribution sector. This role will provide essential administrative and finance support to ensure the smooth day-to-day operation of the office.

Role Overview

Reporting to the Office/Finance Manager, the successful candidate will play a key role in maintaining efficient administrative systems, supporting customer and supplier interactions, and assisting with core finance processes.

This is a varied position suited to someone highly organised, proactive, and detail-focused.

Key Responsibilities

Administration

  • Manage email and telephone correspondence in a professional and efficient manner
  • Coordinate incoming and outgoing post
  • Maintain accurate data entry across internal systems, including CRM updates
  • Upload new business opportunities and assist in managing the sales pipeline
  • Provide day-to-day administrative support to internal teams
  • Order and manage office supplies
  • Carry out general office duties including filing, scanning, and document management
  • Support ad hoc administrative tasks as required

Finance Support

Accounts Payable

  • Process supplier invoices, ensuring correct coding and approvals
  • Reconcile supplier statements and resolve any discrepancies
  • Assist with bi-monthly payment runs and remittance processing
  • Respond to supplier queries in a timely manner
  • Ensure adherence to agreed supplier payment terms

Accounts Receivable

  • Raise and issue customer invoices in line with company procedures
  • Monitor outstanding balances and follow up on overdue accounts
  • Support credit control processes to ensure timely order release
  • Allocate customer payments and reconcile accounts

Banking & Reconciliation

  • Post daily bank and credit card transactions
  • Perform monthly bank reconciliations
  • Maintain accurate and well-organised financial records

Compliance & Support

  • Ensure all administrative and financial processes comply with internal controls
  • Maintain organised and secure filing systems
  • Assist with process improvements and ad hoc finance/admin projects
  • Perform additional duties in line with the role as required

Candidate Profile

  • Previous experience in an office administration or accounts support role
  • Strong attention to detail with a high level of accuracy
  • Excellent organisational and time management skills
  • Confident communicator with a professional manner
  • Proficient in Microsoft Office and familiar with CRM/accounting systems
  • Ability to work independently and adapt in a busy environment
