Office Co-Ordinator | Dublin 12 | €40k

An established and growing Irish technology services provider is seeking an experienced Office Coordinator & Receptionist to join its team at its Dublin 12 Headquarters.

This is a key front-of-house and operational role, reporting directly to the Chief People Officer and working closely with senior leadership, including the CEO and Operations teams. The successful candidate will play a pivotal role in ensuring the smooth day-to-day running of the office, while creating a welcoming, professional, and efficient environment for staff and visitors alike.

Key duties will include the following:

  • Welcome and assist visitors, ensuring a smooth sign-in process and directing them appropriately
  • Manage incoming and outgoing mail, deliveries, emails, and phone calls
  • Oversee reception, cleaning, and security services to maintain high standards
  • Coordinate meetings, appointments, conference room bookings, and company events
  • Liaise with the CEO to support board meetings, including travel and accommodation arrangements
  • Act as the main point of contact for all building-related queries
  • Monitor building access and ensure security protocols are adhered to
  • Work alongside the Health & Safety Manager on emergency procedures and business continuity plans
  • Provide administrative support across departments as required
  • Carry out ad hoc duties as needed
  • Oversee the day-to-day operations of the office and facilities, ensuring they are safe, secure, and fully operational
  • Schedule and supervise preventative and reactive maintenance, repairs, and upgrades
  • Assist in ensuring compliance with health and safety regulations, conducting audits and risk assessments
  • Liaise with external contractors, suppliers, and service providers
  • Maintain accurate records of maintenance, equipment, and inventory
  • Manage office supplies and place orders as required

Interested applicants will meet the following requirements:

  • Proven experience in corporate reception / office co-ordination and facilities
  • Strong organisational, planning, and project management skills
  • Excellent communication and interpersonal skills
  • A proactive problem-solver with the ability to manage multiple priorities
  • Competent in Microsoft Office and general software systems
  • Ability to work independently and respond effectively under pressure
