Staffline are recruiting on behalf of NHSCT for a Band 3 Admin Assistant required on a temporary basis based in Ballymena.
Role: Band 3 Admin Assistant
Rate of Pay: £12.31ph
Location: Ballymena
Hours: 22.5 - Wednesday/Thursday/Friday
Duration: Maternity Cover
Main duties/Responsibilities:
The person appointed will be required to work within the OAS Team. He/she will be required to provide administrative support to OAS team members and to assist with the day-to-day management of the service to ensure a smooth running, high quality service. The employee will use the Encompass Computerised System and full training will be given.
- Audio Typing/ Transcription of letters following dictation of OAS clinics using the Encompass system.
- Provide a checking mechanism of all typed letters by clinicians following OAS clinics on the Encompass System.
- Registration and updating of all demographic details for all patients presenting at the Orthopaedic Assessment Service.
- Partial booking duties using the newly implemented Encompass System: dealing with patient enquiries, appointment bookings, waiting lists etc.
- Day to day Administrative Encompass checks.
- Provide Administrative Support to the OAS Admin Team Lead, OAS Service Manager & OAS Clinical Lead.
- Provide a high standard of clerical support to OAS clinical team members.
- Liaison with outside Agencies, GP practices and multidisciplinary staff within the Trust/Board, dealing with enquiries as appropriate.
- Input and retrieve appropriate information from a variety of computerised systems.
- Prioritise and maintain work schedule, adhering to timescales and deadlines at all times.
- Be able to work on own initiative.
- Provide assistance as required for other administration staff during periods of absence or excess workload.
- Telephone duties - dealing with departmental enquiries, which may include taking and passing on of clear and concise messages; and obtaining and passing on of information extracted from records/computer systems.
- Maintain computerised records.
Essential Criteria:
- 5 GCSE (Grade A - C) or equivalent, including Maths and English Language, PLUS 1 year clerical/secretarial experience in an office environment including the use of computers, data inputting, and word processing.
OR
- GCSE Maths and English Language (Grades A-C) and 2 years clerical/secretarial experience in an office environment including the use of computers, data inputting, and word processing.
- In addition to (a) or (b) applicants must possess 1 year's experience in the use of Microsoft Office Suite to include Excel and Word Processing
