Job description

You will play a key role in ensuring smooth business operations, with a strong emphasis on customer communication. This role provides hands-on experience in key operational functions, including order processing, production scheduling, dispatch, invoicing, credit checking, and documentation.

The ideal candidate will be highly organized, customer-focused, and eager to develop a strong understanding of operational processes while contributing to a structured training framework for future trainees.

Hours & Remuneration:

  • Monday to Thursday: 08:00 - 17:00 (Half-hour lunch break)
  • Friday: 08:00 - 12:00
  • Salary of £27,000

Key Responsibilities:

  • Act as the first point of contact for incoming calls, ensuring a professional and helpful approach.
  • Respond promptly to customer inquiries and direct them to the appropriate department.
  • Respond promptly to all sales staff inquiries, ensuring they have the necessary information to support customers.
  • Maintain excellent customer relationships through clear and proactive communication.
  • Follow up on outstanding customer queries to ensure timely resolution.
  • Accurately process sales orders and enter them into the system.
  • Liaise with the sales and production teams to confirm stock availability and lead times.
  • Confirm receipt of orders with customers and provide estimated delivery dates.
  • Communicate any changes or delays to customers in a timely and professional manner.
  • Perform credit checks on new and existing customers to ensure payment reliability.
  • Set up and maintain accurate customer profiles in the sales order processing system.
  • Ensure all necessary documentation is obtained for new customer accounts.
  • Assist in scheduling production to ensure efficiency and meet customer deadlines.
  • Update internal teams on production status and adjust schedules as needed.
  • Coordinate dispatch schedules to ensure timely and accurate deliveries.
  • Work with logistics providers to track shipments and resolve any delivery issues.
  • Generate and issue invoices to customers.
  • Process credit requests and maintain accurate records.
  • Keep the query log up to date, ensuring all customer and internal queries are tracked and resolved efficiently.
  • Monitor and maintain adequate office supplies.
  • Order stationery and essential materials to support business operations.
  • Process Goods received documentation for Incoming goods.
  • Implement and monitor Health and Safety practices and procedures within the Office environment.
  • Develop and maintain work instructions in written and video format.
  • Ensure these documents form part of the overall 'Office Manual', keeping them clear, accurate, and up to date.
  • Assist in structuring the manual as a training guide for future trainees.
  • Implement and develop relevant parts of the Office related ISO 9001 Quality system and ISO 14001 Environmental management system.
  • Assist in any other general office or factory-related tasks as needed.
  • Support different departments when required to ensure smooth workflow.
  • Be adaptable and willing to help in various areas of the business based on operational needs.

  • Ability to create clear written instructions and basic video tutorials for training purposes.
