Job description

Staffline are recruiting on behalf of NHSCT for a Band 3 Administrative Assistant required on a temporary basis based in Larne

Role: Band 3 Administrative Assistant

Rate of Pay: £12.31

Location: Larne

Hours: 30 hours

Duration: End of January

Main duties/Responsibilities:

  1. Call handling, both incoming and outgoing. Including processing messages/queries, following up queries from staff, service users and carers.
  1. General reception duties including processing of incoming and outgoing mail, greeting visitors and booking of meetings rooms (via Outlook Calendar).
  2. Typing of letters, memos, reports and other documentation as required.
  1. Photocopying, emailing and scanning of documentation as required.
  1. Maintenance of departmental documents including service user and staff files plus related typing and filing.
  1. Calculation of staff mileage.
  2. Undertake filing and maintaining an efficient, up-to-date record keeping system, in line with Records Management protocol.
  1. Storage & distribution of PPE to staff.
  2. Input and extract information from various computerised systems to include duties such as;
  • locating service user data
  • collecting and collating statistical information
  • Staff training matrix
  1. Participate in on the job training of new staff including office processes and use of computer systems.
  1. Participate in learning and completion of mandatory training both face to face and via e-learning.
  1. The post holder will be working in a changing environment and will be expected to adapt to change and undertake other duties within the band of the post as necessary to ensure the needs of the department are met.

  1. Maintain confidentiality within and without the workplace at all times.

Essential:

  • 3 GCSEs to include English and Mathematics (Grade A*- C) or equivalent including Mathmetics AND 1 year's experience working in a team administration office environment within the last 3 years

OR

  • 3 years administrative experience working in a team administration office environment within the past 5 years

PLUS

  • In addition to (a) or (b) applicants must have 6 months keyboarding experience using Microsoft Word, Excel and Outlook in an office environment
