Staffline are recruiting on behalf of NHSCT for a Band 3 Admin Support Officer required on a temporary basis based in Antrim

Role: Band 3 Admin Support Officer

Rate of Pay: £12.31ph

Location: Antrim

Hours: 20 per week

Duration: 3 Months initially

Main duties/Responsibilities:

The post holder will work within a small team of specialist staff in supporting the Medical Director, Deputy Medical Director and the Senior Manager in relation to Medical Appraisal & Revalidation, as well as any other medical workforce processes as required within the Medical Director's Department.

  • Undertake any administration tasks appropriate to band as required by the service.
  • To respond to queries in relation to Appraisal and Revalidation which will include communicating clearly, taking messages and passing on information as appropriate.
  • Provide comprehensive administrative support to the Department in relation to Medical Appraisal and Revalidation
  • Support and promote the processes for Patient and Colleague Feedback in accordance with GMC requirements, providing advice to medical staff on related matters.
  • Support Senior Manager with the provision and submission of yearly Corporate Governance Data to Medical staff
  • Develop, maintain and manage a comprehensive range of databases around contacts, Medical HR information for, new starts, leavers and sickness on a monthly basis.
  • Support the Appraisal & Revalidation Manager with the maintenance of a secure electronic filing and archive system for appraisal documentation and revalidation information.
  • Support the Senior Manager with the retention and disposal of files held within the Office of the Medical Director.
  • Work to agreed timescales and ensure quality standards are maintained at all times.
  • Manage incoming and outgoing correspondence, which includes e-mail, letters, memos and ensure a 'bring forward' system is in place and follow up any necessary action.
  • Assist in the collection and collation of relevant data to enable monitoring and reporting of Medical Directorate information.
  • Maintain the Photocopier and Stationary requirements and report any equipment needs to Appraisal/Revalidation manager.
  • Assist with the co-ordination of training courses/sessions being delivered within the Office of the Medical Director.
  • Participating in team meetings.
  • Take part in supervision,
  • To participate in annual review through Knowledge & Skills Framework.

Essential Criteria:

  • 4 GCSEs (Grades A-C) or equivalent to include English.
  • Or
  • NVQ Level 2 in Administration

Plus

  • 1 year's administrative experience in an office environment.
  • Experience in the use of Windows based software to include Excel, Word and Outlook

(work based examples must be clearly outlined on the application form)

OR

  • English GCSE (Grade A-C) or equivalent

Plus

  • 2 years' administrative experience in an office environment to include the use of Windows based software to include Excel, Word and Outlook.

This experience must include the following areas-

  • using the Microsoft Office suite of packages
  • electronic & manual diary management
  • organizing & servicing meetings
  • collation & presentation of data using MS Excel
  • data input
  • data extract
