My client a leading public sector organisation based in Belfast are currently seeking to recruit a Full-Time Higher Clerical Officer.

Hours: Monday - Friday, 9am-5pm

Pay: £12.31 per hour

Main Duties / Responsibilities

1. To be aware of referrals appropriate to Occupational Therapy so that inappropriate referrals can be directed accordingly with the necessary advice. 2. To have an awareness of the roles of other disciplines and services in order to determine where a client's needs may be best met. Directing both clients and Carers to the correct discipline or service. 3. To have an awareness of other Health and Social Care Trusts within Northern Ireland and the geographical areas that they cover whilst redirecting clients, carers, professionals and agencies. V1.0 / May 2018 Page 2 of 8 4. To determine, by asking appropriate questions, relevant information from requesting /referring agents and ensuring confidentiality at all times. 5. To demonstrate good interpersonal skills, and awareness of client and carers difficulties by displaying a patient, courteous, empathetic and tactful manner at all times. 6. To obtain missing information or demographic details required for referrals/requests from appropriate sources using initiative appropriately, updating any changes to information on client information system and client records. 7. To send out appropriate information to clients/carers and GPs as directed, and in line with service policy and procedures. 8. To assist the Occupational Therapists to meet patient need by accessing information from other IT systems as appropriate, identifying pertinent information, processing requests, making telephone enquiries as necessary 9. To answer telephone enquiries in relation to the Occupational Therapy Service, using knowledge and skills of the service to provide high level of customer care skills and in line with Trust Customer Care policies. 10.To assist in any way possible to alleviate or resolve any issues, concerns or complaints and enquiries from Clients/ carers, referrers and client representatives. 11.To arrange Clinic and Domiciliary appointments for the Programmes of Care within the Occupational Therapy Service, to include Paediatrics, Wheelchairs and Adult Domiciliary Services via appointment schedulers, databases, calendars and complete all appropriate correspondence on the client information system. 12.To meet and greet new service users arriving at the clinic or calling to the Health and Treatment Centres for general OT advice, displaying qualities of hospitality and approachability. 13.To carry out administration duties in the clinic and across centres and locations on a rotational basis, both for the Domiciliary Service and the Splinting Service. As well as providing cover at other locations throughout the Occupational Therapy Service during times of service pressures, sick and annual leave etc. 14.To be responsible for ordering and collection of equipment and minor adaptations as requested, via mainsaver, CCA, Eprocurement, NRS and RDSS. As well as the reporting of faulty equipment via helpdesk and NRS.

Essential Criteria

1. 4 GCSEs at Grade C or above (to include English Language) and 18 months clerical experience to include typing experience Or NVQ Level 2 in Administration and 18 months clerical experience Or 2 years' clerical experience Shortlisting by Application Form V1.0 / May 2018 Page 7 of 8 2. Experience of using Microsoft packages and e-mail. 3. Experience using Patient information Systems 4. Experience in dealing with clients both verbally and in writing. Other (e.g. Knowledge, Skills, Abilities, Driving etc.) 1. Ability to plan and organise work effectively in order to meet deadlines and an ability to work under pressure 2. Ability to work as part of a team, flexible and dependable.
