Staffline Recruitment is currently seeking an experienced Operations Support Officer on behalf of a well-established organisation based in Belfast. This is an excellent opportunity to join a professional and supportive team delivering important services to individuals and communities across Northern Ireland.
The Role
As an Operations Support Officer, you will play a key role in supporting the day-to-day delivery of services, ensuring service users receive a professional, efficient and responsive service. Working within a busy office environment, you will provide administrative support, coordinate appointments, manage enquiries and liaise with a range of stakeholders.
Key Responsibilities
- Managing telephone, email and online enquiries.
- Booking and coordinating appointments.
- Sending appointment reminders and relevant documentation.
- Following up on missed appointments.
- Providing information and guidance on available services.
- Maintaining accurate records and ensuring confidentiality at all times.
- General office administration and inbox management.
- Processing payments and invoices where required.
- Supporting projects and service delivery activities.
- Delivering a high standard of customer service.
Essential Criteria
- GCSE English and Maths (or equivalent).
- At least 2 years' experience in an administrative or customer-focused support role.
- Experience handling confidential information.
- Strong organisational skills with the ability to manage competing priorities.
- Excellent communication skills, both written and verbal.
- Proficiency in Microsoft Office applications.
- Ability to work effectively as part of a team and on own initiative.
- Strong attention to detail and accuracy.
Desirable Criteria
- Business Administration qualification.
- Experience using CRM or appointment booking systems.
- Experience processing payments and invoices.
- Experience supporting projects, training or service delivery functions.
Additional Requirements
- Successful candidates will be required to provide satisfactory references.
- A satisfactory Access NI check is required for this position and must be completed prior to commencement of the assignment.
