Job Title: Member Services Officer
Location: Mossley Mill
Rate of Pay: £20.29
Hours: 37 (09:00-17:00)
Main Purpose of the Role
To provide a confidential, efficient, and comprehensive administrative support service to Elected Members, Council Committees, and associated functions, ensuring the effective operation of Council governance processes.
Key Responsibilities
- Coordinate paperless Council and Committee meetings, including the distribution of agendas, reports, and related documentation.
- Service Council and Committee meetings by preparing agendas, recording proceedings, producing minutes, and ensuring follow-up actions are completed in line with Council procedures.
- Organise meeting logistics, including room bookings, hospitality arrangements, presentations, and Zoom meeting coordination.
- Maintain accurate records relating to Members, including attendance, committee memberships, expenses, declarations of gifts and hospitality, and conference participation.
- Liaise with internal departments, Members, external organisations, and IT services to support effective communication and governance processes.
- Upload approved reports, minutes, presentations, and other relevant documentation to the Council website.
- Arrange approved travel and accommodation for Members.
- Provide administrative support to the Mayor and Deputy Mayor.
- Prepare and maintain the annual Schedule of Meetings, Corporate Calendar, and Member Services Calendar.
- Assist with Freedom of Information requests by collating and preparing relevant information.
- Support Local Government Elections and civic events, including Remembrance Day and Sunday Services.
- Coordinate and manage the Members Services Officer on-call rota.
- Maintain office supplies and process purchase orders as required.
- Deliver a high standard of customer service, resolving enquiries efficiently and professionally.
- Undertake additional duties as required, including working flexibly across departments, during emergencies, and outside normal working hours where necessary.

Person Specification
Essential Qualifications
- Level 3 qualification in Business Administration, Secretarial Studies, or a related discipline (or equivalent).
- RSA/OCR Stage II Word Processing (or equivalent).
Applicants without the above qualifications may be considered if they can demonstrate at least four years of relevant experience.
Essential Experience
- Minimum of 2 years' administrative or clerical experience, including:
- Use of Microsoft Office applications.
- Preparation of agendas, reports, minutes, and correspondence.
- Managing competing priorities and meeting deadlines.

- Strong organisational and time-management skills.
- Ability to prioritise workloads effectively.
- Excellent interpersonal and communication skills.
- High levels of accuracy and attention to detail.
- Ability to produce clear and concise records and documentation.
- Commitment to continuous improvement and customer service excellence.
Desirable Experience and Knowledge
- Experience supporting Council or Committee meetings.
- Knowledge of local government procedures and standing orders.
Other Requirements
- Full current driving licence or access to suitable transport to fulfil the duties of the role.
- Flexibility to work outside normal hours when required.
