Contracts Scheduler (Full-Time, Permanent)
Location: Greater Belfast area
Salary: Starting from £28,000 (DOE)
We're working with a well‑established organisation seeking a highly organised Contracts Scheduler to join their busy operations team. This is a full-time, office-based role with a strong focus on coordination, customer service, and keeping projects running smoothly from start to finish.

About the Role
You'll be the main link between internal teams and customers, managing contracts, scheduling work, coordinating installers/surveyors, and ensuring everything is accurately recorded in the CRM system.
This role suits someone who's methodical, confident multitasking, and comfortable working in a fast-paced environment where no two days are the same.
Previous scheduling experience is essential. Experience coordinating technical field teams or installations is highly desirable.
Key Responsibilities
- Manage new contracts from onboarding through to completion, ensuring documentation and CRM updates are accurate.
- Liaise closely with the sales team to resolve queries or discrepancies.
- Schedule surveys and installations, coordinating with customers and field teams.
- Prepare installation packs with all required documentation and delivery notes.
- Maintain detailed CRM records throughout the full contract lifecycle.
- Act as a primary customer contact-providing updates, answering queries, and ensuring a positive experience.
- Monitor progress using a new internal scheduling system and contribute ideas to streamline processes.
- Send customer guarantees and final documentation following completion.
- Coordinate snagging or maintenance issues and keep all parties informed.
- Support finance teams with stage payments, invoicing, and card payment processing.
- Assist the credit control process by tracking outstanding payments and updating records.
- Contribute to weekly operations meetings and prepare dashboard reports.
- Support continuous improvement, identifying opportunities to improve processes.
- Provide reception cover when needed.

- Tech-confident, especially with CRM systems and digital workflows.
- Adaptable and comfortable working with new tools or processes.
- Previous scheduling experience is essential.
