School Administrator | Dublin 15

At Staffline Recruitment we are seeking a highly organised, professional and personable School Secretary to join a busy administrative team in a well-established, reputable, values-led secondary school located in Dublin 15. This is a varied and dynamic role requiring excellent organisational, administration and communication skills with the ability to manage multiple priorities in a busy school environment.

The successful candidate will play a central role in supporting senior leadership, staff, students, parents, and alumni, while ensuring the smooth day-to-day running of administrative operations.

Key responsibilities will include:

  • Processing Garda Vetting applications for students, teachers and support staff as required.
  • Assisting with the organisation and administration of major school events (e.g., debates, liturgical services, seasonal initiatives).
  • Supporting the preparation and coordination of large-scale events such as Open Evening and Parent-Teacher Meetings.
  • Preparing up-to-date class lists at the start of each academic year.
  • Updating student and staff data systems.
  • Communicating effectively with parents regarding meetings, events, and school activities.
  • Providing reception cover during lunch breaks, end-of-day periods, and staff leave.
  • Supporting the Principal's PA and administrative team as required.
  • Assisting with school management systems (including VSware, iClass and related platforms).
  • Supporting Prizegiving administration, including ordering vouchers and liaising with relevant post holders.
  • Ordering stationery and supplies for administrative and teaching staff.
  • Organising references and maintaining accurate school records.
  • Attending monthly alumni meetings and events as required.
  • Coordinating alumni events in collaboration with school leadership.
  • Ensuring full compliance with safeguarding, data protection, and confidentiality policies at all times.
  • Flexibility to undertake additional duties as assigned.

Interested candidates will meet the following requirements:

  • A minimum of 2 - 5 years of experience in a similar position (school environment highly desirable)
  • Excellent communication and interpersonal skills.
  • Strong digital proficiency and high level of competency in Microsoft Office.
  • Excellent organisational and time-management skills.
  • Ability to handle confidential information with discretion and professionalism.
  • Professional, friendly and approachable manner.
  • Ability to work collaboratively as part of a team
  • Knowledge of safeguarding and GDPR requirements

This is a permanent, full-time position that will be based fully onsite. A salary in the region of €35,000 - €40,000 will be payable, depending on experience.
