Administration Officer

Location: Newforge Lane
Hours: Full-time, 37 hours per week
Pay Rate: £13.75 per hour

About the Role

AFBI is seeking an Administrative Officer to support the Newforge Estate Unit within the Estate Management & Development Branch (EMDB). Reporting to the Premises Officer, the postholder will provide essential administrative and operational support to ensure the safe, compliant, and effective day-to-day management of the Newforge site.

This is a varied role combining facilities administration, contractor liaison, health and safety support, systems use, and reception duties within a busy public-sector estate environment.

Key Duties & Responsibilities

The successful candidate will assist the Premises Officer with:

  • Facilitating, monitoring, and managing the planned preventative maintenance (PPM) schedule and associated remedial works
  • Managing defect reporting and reactive maintenance
  • Daily use of AMPS (NICS Asset Management & Property Services system) to manage maintenance works, minor projects, and asbestos-related activity
  • Administration relating to specialist laboratory gas maintenance
  • Operation and monitoring of the permit-to-work system
  • Supporting site security, including KPI reporting and invoice processing
  • Assisting with fire safety duties as Deputy Fire Precautions Officer, including weekly fire alarm testing and routine safety checks
  • Providing reception cover, dealing with visitors, contractors, suppliers, staff, and AFBI Board Members
  • Managing daily post, mail, and courier services
  • Undertaking any other duties appropriate to the role as requested by the Premises Officer

Essential Criteria

Applicants must demonstrate:

  • 5 GCSEs (or equivalent) at Grade C or above, including English Language and Mathematics
  • At least 1 years' experience working in a facilities management (FM) environment, undertaking duties similar to those outlined above
  • Strong communication skills, with the ability to deal confidently with staff, contractors, visitors, and reception duties (including tannoy announcements)
  • Competence in Microsoft Office, particularly Word and Excel, for invoice processing, record keeping, and correspondence
  • Experience of, or ability to quickly learn, online asset management systems
  • Ability to work effectively as part of a team
  • Ability to work on own initiative and manage a varied workload
