Location: Ulster Hospital
Pay: £12.31 per hour
Hours: 37.5 hours per week
Job Summary
Administrative & Clerical Officers provide an administrative service and support across a variety of settings within the Trust. The post holder will work as an integral member of a team and will be expected to respond to queries, manage their own workload, meet deadlines, and problem-solve using their own initiative.
The role may involve acting as a first point of contact for patients. The post holder must communicate with clarity and empathy, taking into account individual patient needs at all times.
Team working is essential. The post holder will liaise closely with colleagues within their own team, across the Patient Administration Services Department, and with other departments including clinical staff and GP practices, helping to promote a patient-focused, cohesive, responsive, and adaptable service.
The post holder will be responsible for a wide range of administrative tasks to support the effective and efficient provision of services within their department.
Duties
The post holder will be required to:
- Input and extract patient information onto relevant electronic information systems (e.g. Epic, PAS, Patient Centre) to support an effective and efficient service.
- Select patients from lists in clinical priority and chronological order and offer appointment or admission dates.
- Demonstrate a working knowledge and understanding of targets and the Integrated Elective Access Protocols (IEAP), adhering to policy at all times.
- Scan and upload documents onto electronic systems.
- Undertake word processing, produce reports, and work across computer systems.
- Support Team Leads with patient information checks to assist audits.
- Action work queues to ensure patient data accuracy within Epic.
- Assist with the training and induction of new staff within the area of responsibility.
- Maintain electronic and manual filing systems.
- Provide reception cover as required.
- Deal with general enquiries and provide advice requiring immediate action within defined guidelines, protocols, and policies.
- Prioritise own workload, maintain diaries, make appointments, and receive and process incoming mail and emails accurately and in a timely manner in line with agreed procedures.
- Develop and maintain effective communication with clinical, nursing, and administrative staff across multiple teams and directorates.
- Supervise staff and allocate work as appropriate.
- Provide assistance to other team members as required.
Essential Criteria
Candidates must meet one of the following:
- 4 GCSEs Grades A-C, including English Language (or equivalent qualification), plus 1 year's administrative/clerical experience
OR - NVQ Level 2 in Administration (or equivalent qualification) plus 1 year's administrative/clerical experience
OR - 2 years' administrative/clerical experience
Additional essential requirements:
- 1 year's word processing experience
- Experience using Microsoft packages including Word, Excel, and Outlook
Desirable Criteria
- Experience of using computerised databases
