Executive Officer II

Location: Belfast
Hours: Full-time, 37 hours per week (May require evenings and weekends)

Salary: £30,458 per annum

**Candidate Required for early January 2026**

About the role:

EO2s will be expected to provide administrative support to staff at SO, DP and Grade 7 level, as well as senior management, in carrying out the branch objectives.

The working environment can be fast-paced and there are often competing priorities with urgent tasks requiring completion within challenging timescales.

Main Responsibilities:

Finance/Governance

  • Oversee the processing of payments and the provision of support in relation to the management of budgets.
  • Oversee the import of information from finance reports into Excel spreadsheets and ensure they are provided to the Budget Holder when requested.
  • Prepare finance returns as necessary and ensure returns are submitted on time.
  • Operate organisational processes effectively to ensure effective governance of information and adherence to approved policies and relevant legislation in respect of GDPR and record keeping.

Administrative Support

  • Undertake initial research of specific topics and gather information that will contribute to the formulation of policy.
  • Decision making including the scrutiny of material, determining evidence requirements and ensuring all adequate evidence is gathered to enable the correct decision to be made in accordance with the organisations policies and procedures.
  • Provide effective contribution to draft responses to all correspondence as required. Ensure responses are issued within stated deadlines and all updates recorded on the tracker in a timely manner.
  • Oversee the operation of generic email accounts and provide advice on the allocation of non-standard queries. Escalate complaints as necessary.

Secretarial:

  • Support managers in the management/organisation of meetings, ensuring the effective preparation of papers and that all practical arrangements have been made.
  • Attend meetings as necessary and take minutes/ action points, ensuring they are approved prior to issue and ensuring follow up of action points.

Line Management Responsibilities (if applicable)

  • You may be responsible for leading, motivating, supporting and developing your staff. This often involves quality assuring the work of your staff, providing feedback and coaching when required.

Essential Criteria

  • 6-12 months demonstrable administrative support to senior managers in a fast-paced environment with competing priorities.
  • Experience in financial administration, including processing payments, supporting budget management and completing finance returns to deadline.
  • Strong IT skills, particularly in Excel, to manage, analyse and present information.
  • Experience of governance, information management and record keeping, with an understanding of GDPR and organisational policies.
  • Ability to research, analyse information and support sound decision-making in line with procedures.
  • Politically astute, professional and discreet, with the ability to handle sensitive and confidential information.
  • Experience providing secretariat support, including organising meetings, preparing papers, taking minutes and tracking actions.

Desirable Criteria:

  • Strong organisational, communication and teamwork skills, with the ability to work under pressure and meet tight deadlines.
