Overview

The roll of Shipping and Accounts Administrator is to work as part of the Shipping and Accounts team. Key responsibilities include working closely with the planning department and the Freight forwarders to ensure shipments are arranged and dispatched in a timely manner. To support the accounts team in all areas of accounts administration.

Key Responsibilities /Duties:

  • Arranging shipments of goods from the factory.
  • Preparing all paperwork for shipments to include Despatch Notes, Invoices Dangerous goods Notes and any other necessary documentation and liaising with Freight Forwarders.
  • Matching POD's and authorisation of invoices for shipment costs.
  • Liaising with Distributors and furnishing necessary paperwork in a timely manner.
  • Raising invoices to customers and distributors and dealing with customer queries promptly.
  • Managing daily stock reports and reconciling on a daily basis.
  • Tracking all haulage and distribution costs and authorising
  • Posting invoices to the system and confirming authorization from relevant departments.
  • Reconciliation of statements.
  • Receiving stock to Opera.
  • Reconciliation of Petty Cash
  • Preparation of monthly accounts report for Financial Accountant.
  • Updating stock prices
  • Making bank payments on an adhoc basis.
  • Providing holiday cover in payroll department.
