Band 4 Personal Assistant
Location: Lissue, Lisburn
Temporary - Full-Time

The Client: A leading public body providing essential healthcare services across Northern Ireland.

Job Summary:
The post-holder will be responsible for delivering a full range of administrative and secretarial support functions to Director and Assistant Director level staff. This will involve planning, prioritising, and monitoring workload to ensure efficiency, accuracy, and professionalism at all times. Duties will also include verifying invoices (e.g. travel, training, accommodation, hospitality), handling internal/external communications, and providing front-line support for visitors and corporate guests.

Key Duties / Responsibilities:

  • Provide daily administrative and secretarial support including letter drafting, audio typing, data processing, and email management
  • Organise and manage diaries, meetings, agendas, and supporting documentation
  • Use Microsoft Office applications to produce high-quality documents, presentations, and reports
  • Manage incoming correspondence, including emails and phone calls, ensuring prompt and effective action
  • Maintain confidentiality and adhere to Trust policies, procedures, and legal requirements
  • Provide administrative support for Committees, meetings, and projects - including agenda prep, document distribution, and minute/note taking
  • Develop and maintain effective office systems (paper and digital), including filing, information tracking, and document storage
  • Manage office supplies and stationery orders
  • Arrange travel and accommodation for staff and provide administrative support for workshops and events

Essential Criteria:

Qualifications/Experience:

  • 5 GCSEs at grade C or above (or equivalent) including English Language and Mathematics
  • A minimum of 2 years' experience in an administrative or secretarial role, including use of Microsoft Office Suite (Word, Excel, PowerPoint, Outlook etc)

OR

  • 3 years' relevant experience in an administrative or secretarial position including significate use of Microsoft Office Professional Suite
  • Must hold a current full UK driving licence and have access to a car (this requirement may be waived for applicants whose disability prevents driving but who have access to suitable transport)

Skills & Abilities:

  • OCR/RSA (or equivalent) Word/Text Processing Level 2 qualification
  • Strong ability to minute/note take at Committee level and in meetings
  • Confident in using initiative, motivating others and effectively delegating tasks

Hours of Work:

  • Monday to Friday, 37.5 hours per week

In Return:

  • Hourly rate: £13.57
  • Holiday entitlement included
