Facilities Administrator
Location: Southern Ireland
Employment Type: Full-time, Permanent
Hours: Monday to Thursday 8am-5pm, Friday 8am-2:30pm
Work Authorisation: Applicants must have a valid PPS number and be eligible to work in the Republic of Ireland.
About the Role
We're seeking an organised and proactive Facilities Administrator to join a busy facilities team supporting multiple production buildings and office locations. This is a great opportunity for someone who enjoys keeping operations running smoothly and providing high-quality administrative support across a range of systems and services.
Key Responsibilities
Raise purchase requisitions for ongoing facilities services, projects, and contracts.
Reconcile purchase orders and invoices once work is completed.
Maintain service contract records, service level agreements, and reports.
Schedule contract service visits and reviews, and arrange ad hoc maintenance as needed.
Build and maintain strong working relationships with contractors and suppliers.
Assist with compiling and updating asset registers.
Manage and monitor the facilities service request system.
Update records in line with EHS corrective actions and health & safety compliance.
Support office space planning and help maintain standards, including desk moves and space allocation.
Maintain utilities usage and service records.
Carry out any additional administrative tasks required to support the smooth running of the facilities function.
Skills & Experience
Administration qualification or Leaving Certificate / GCSE (or equivalent).
Previous experience in an administrative or customer-facing role.
Strong attention to detail and organisational skills.
Confident working with Microsoft Office and internal systems.
Excellent communication skills and a proactive, problem-solving approach.
Other Details
The role is office-based.
Occasional travel between sites may be required (up to 5%).
