My client a leading public sector organisation in Belfast is currently seeking a Full-Time Corporate Secretariat Manager.
Hours: Monday-Friday, 9am-5pm
Pay: £18.10 per hour
JOB SUMMARY
The post-holder will be responsible for monitoring the Strategic Planning and Performance Group with legislation, Terms of Reference and DoH guidance. He/she will have responsibility for the operation of all administrative processes underpinning the Strategic Planning and Performance Group, Committees, Group Heads and the Belfast and South Eastern Local Commissioning Groups and all associated governance requirements and will monitor adherence to these. He/she will manage the relevant administrative staff and ensure the provision of a high quality corporate secretariat service to the Strategic Planning and Performance Group, its Committees, Group Heads and two Local Commissioning Groups. He/she will deputise for the Corporate Business Manager when required.
KEY DUTIES / RESPONSIBILITIES
Operational Delivery Corporate Secretariat to the Strategic Planning and Performance Group and Committees 1. Plan and organise the annual schedule of all meetings of the Strategic Planning and Performance Group, its Committees Group Heads, Belfast and South Eastern Local Commissioning Groups in accordance with the Corporate calendar of the Strategic Planning and Performance Group and Codes of Conduct and Accountability. This will also include any Special Meetings and Workshops. 2. Develop and maintain an overall annual corporate calendar of agenda items, taking account of corporate governance and timescales as well as overall functions of the Strategic Planning and Performance Group, in order to ensure that these are programmed to meet essential timescales. 3. Develop a programme of workshops, visits and other activities to enable their duties and have a full understanding of the work of the Strategic Planning and Performance Group and the communities interests and partners it works with and ensure that all necessary arrangements are made to facilitate this. 4. Provision of high quality secretariat support to the Strategic Planning and Performance Group , its Committees, Belfast and South Eastern Local Commissioning Groups and G r o u p H e a d s including the preparation of 'Chair's Notes', agenda, distribution of papers and production of formal minutes, to ensure a positive public perception of the Strategic Planning and Performance Group in its conduct of business. 5. Responsible for the servicing of all Group Heads and Committee meetings of the Strategic Planning and Performance Group . Corporate Secretariat to SPPG meetings will be provided by Corporate Business staff in the Local Offices.
Essential Criteria
A University Degree or recognised professional qualification or equivalent qualification; AND a minimum of 2 years' experience in the last 5 years in a role involving staff management, servicing of formal meetings (to include Board/or Board Committee) with Senior staff and advising on Corporate Governance issues. OR HND/HNC or equivalent (NQF level 5) and at least 3 years' experience in a role involving staff management, servicing of formal meetings (to include Board/or Board Committee) with Senior staff and advising on Corporate Governance issues.
