Band 4 Organisation Development Administration Support Officer required on a temporary basis based in Antrim

Role: Band 4 Organisation Development Administration Support Officer

Rate of Pay: £13.57

Location: Antrim

Hours: 37.5 hours

Duration: March 2026

KEY DUTIES / RESPONSIBILITIES

The post-holder will support the Leaning and Development (L&D) Systems Manager in the learning and development and organisational development (OD) remit for the Trust, with a focus on encompass-related support (onboarding and training).

The post-holder will provide systems support and administration across a range of learning and development and OD activities, focussing on encompass-related support (onboarding and training). He/she will be allocated a range of duties as outlined in the main responsibilities in relation to these activities.

The post-holder will be required to exercise initiative, liaise with managers and staff as necessary.

Systems Support

  • Assist the L&D Systems Manager in maintaining and managing relevant databases and information systems including HRPTS and Learning Management System (LMS) as they relate to encompass.
  • Carry out data entry, quality and maintenance activity associated with encompass onboarding and training.
  • Manage and co-ordinate training administration as required and providing information, statistics and compliance reports as required.
  • Monitor data quality, identify and address issues as they arise. Conduct regular data cleansing.
  • Support the L&D Systems Manager in monitoring all aspects of learning and development systems security and data integrity and report any matters of concern, as outlined in the Trust's IT Security Policy.
  • Support the L&D Systems Manager in managing systems-related documentation as required.
  • Support the L&D Systems Manager in query management activity relating to LMS, encompass (onboarding and training) and general L&D/OD support.
  • Assist in the effective implementation of digital learning including LMS account creation, administering usernames and passwords, producing basic training materials and offering support to end users.
  • Contribute to the development and maintenance of the Trust's intranet site as it relates to HR and L&D/OD.

Learning and Development / Organisational Development (OD)

  • Providing operational support to the OD Team.
  • Deputise for the L&D Systems Manager in ensuring that adequate administrative and clerical support is provided to the OD Team at all times.
  • Produce and analyse statistical information for presentation to key stakeholders.
  • Processing orders through the FPL system.
  • Assisting the OD Team with the organisation and co-ordination of relevant events

Essential Criteria:

  • (HNC/HND or equivalent / higher qualification in an ICT or administrative related field plus 1 years' experience in an ICT or administrative/clerical role

OR

  • 4 GCSEs at Grades A-C including English or English Language (excluding English Literature) and Maths or equivalent / higher qualification plus 2 years' experience in an ICT or administrative /clerical role

OR

  • 3 years' experience in an ICT or administrative/clerical role AND Advanced experience in the use of Microsoft office including Word, Excel and PowerPoint
