Band 3 Administration Assistant is required for a large public sector organisation based through the Belfast Trust
Location: Everton Complex
Pay Per Hour: £11.67
Part Time hours: 37.5 hrs
JOB SUMMARY/MAIN PURPOSE:
The Emotional Health and Wellbeing Team supports families of children and young people aged 0-18 who are awaiting Child Development Clinic or Autism Assessment.
The service offers trauma-informed and neurodiversity affirming, early therapeutic support, working in partnership with non-statutory community organisations.
The post-holder will support the Emotional Health and Wellbeing Team for Children and Young People in implementing administrative procedures and practices. This will include assisting in tracking referrals, supporting referral management, use of Encompass and other information systems and Standard Operating procedures.
MAIN DUTIES / RESPONSIBILITIES
- Responsibility for maintaining referral database and logging new referrals on Encompass.
- Support team in liaison with referrers regarding outcomes of referrals screening.
- Monitor and take focused action on waiting lists.
- Support team with implementation of administrative procedures and processes in relation to patient care (e.g. Integrative Elective access Protocol (IEAP), Encompass etc.).
- Support team with maintaining & updating patient demographic details, adding / revising on written and electronic records as appropriate.
- Liaise with other clinicians/ departments regarding patients referred to and availing of the service, referring to clinical staff and senior staff when necessary.
- Handle all telephone calls and email queries about the service in a courteous and pleasant manner.
- Continually strive to improve quality, standards and procedures within area of responsibility contributing to the ongoing desire to improve delivery of services.
- Arrange and attend meetings, taking minutes and undertaking follow-up action as required.
- Compile and collate statistical returns and information requirements as requested and ensure that data is up to date and appropriately maintained in line with the Trust's guidance, policies and procedures.
- Support the Admin Manager with the monitoring and maintaining of stock levels.
- Undertaking any other duties appropriate to the grade. This may include facility management or support to other services at times of staff shortage.
ESSENTIAL CRITERIA
- 4 GCSE's including English Language (Grades A-C) or equivalent plus one year's relevant administration experience
OR
- NVQ Level 2 Administration
OR
- 2 years administration experience
- Experience in the use of Microsoft Office products including word, excel, PowerPoint and Outlook
- Ability to prioritise work and respond effectively with demanding deadlines
- Ability to work well as a team member and to use initiative
