Job description

The Operations Administrator role is a full-time, permanent position based in Carrickmacross, Co. Monaghan.

Reporting to the Operations Manager, the successful candidate will play a key role in coordinating the day-to-day operations of the business. They will liaise closely with customers to book and schedule services and work alongside field staff to ensure both reactive and planned drainage and wastewater services are delivered efficiently and to a high standard.

This is a busy, varied and fast-paced role, requiring someone who is highly organised, methodical and capable of managing multiple priorities. The Operations Administrator will work closely with the Operations Manager, field staff, customers, suppliers and waste disposal facilities to ensure the smooth running of daily operations.

Key Responsibilities

  • Plan and schedule daily operations using job management software, ensuring all jobs are completed efficiently and to customer expectations.
  • Schedule work to maximise staff productivity, optimise vehicle usage and maintain cost efficiency.
  • Liaise closely with field staff regarding job bookings, arrangements, updates and changes.
  • Communicate with customers to confirm bookings, provide updates and maintain positive relationships.
  • Liaise with waste disposal facilities to arrange waste disposal and maintain accurate records and documentation for legal compliance.
  • Support the Operations Manager with the recruitment, induction and training of field staff.
  • Assist with the organisation and delivery of monthly Toolbox Talks.
  • Assist with the management of company vehicles and equipment, ensuring servicing and maintenance are kept up to date.
  • Support the Operations Manager and Health & Safety Consultant with the implementation and maintenance of ISO quality management systems.
  • Handle customer queries, complaints and operational issues, ensuring they are dealt with promptly and effectively.
  • Identify opportunities to improve and streamline operational processes and maximise efficiency.
  • Prepare documentation for internal teams and external stakeholders.
  • Carry out other operational and administrative duties as required to meet the needs of the business.
