Job description

Job Title: Business Development Admin Officer

Location: Mossley Mill

Rate of Pay: £15.31

Duration: 3 months (possible extension)

Key Responsibilities:

Administrative and Project Support

  • Provide comprehensive administrative support to the Economic Development and Planning Department.
  • Validate and verify project information submitted by delivery partners, ensuring compliance with funding and programme requirements.
  • Maintain accurate project records, databases, and filing systems.
  • Monitor and update performance dashboards, business directories, spreadsheets, and departmental databases.
  • Prepare, format, and distribute correspondence, reports, Letters of Offer, presentations, and project documentation.
  • Maintain project action logs, decision registers, risk assessments, and governance documents.
  • Support the administration of grant funding programmes, including collating supporting documentation and processing payments.
  • Create purchase orders, process invoices, and support financial administration in accordance with Council procedures.
  • Monitor shared email accounts and respond to enquiries in a timely and professional manner.

Meeting and Event Coordination

  • Organise meetings, workshops, seminars, consultation events, business engagement events, and job fairs.
  • Manage diaries, room bookings, online meetings, equipment requirements, catering, invitations, and attendee registrations.
  • Prepare agendas, meeting papers, presentations, and information packs.
  • Attend meetings, record minutes, and track actions to completion.
  • Support the delivery of promotional events and stakeholder engagement activities.

Customer Service and Stakeholder Engagement

  • Act as a first point of contact for members of the public, businesses, partners, and stakeholders.
  • Provide excellent customer service through telephone, email, reception, and online channels.
  • Direct enquiries to the appropriate programme or support officer.
  • Support communications with project partners, funders, businesses, and programme participants.
  • Assist with stakeholder engagement activities and the distribution of programme communications.

Data Management and Reporting

  • Maintain accurate electronic and paper filing systems.
  • Ensure data is accurate, complete, and compliant with GDPR requirements.
  • Perform data entry, data cleansing, record management, and reporting activities.
  • Support the preparation of committee reports, project board papers, action plans, and performance reports.
  • Maintain specialised systems and databases including planning and event management systems.

Team Support

  • Assist with incoming and outgoing mail, document management, photocopying, scanning, and records administration.
  • Order and manage office supplies and equipment.
  • Support colleagues with administrative tasks and departmental activities.
  • Provide cover during periods of staff absence, training, or increased workload.
  • Participate in team meetings and contribute to service improvement initiatives.

General Responsibilities

  • Deliver a high standard of internal and external customer service.
  • Work collaboratively as part of a team to achieve departmental objectives.
  • Maintain confidentiality and handle sensitive information appropriately.
  • Comply with Council policies and procedures, including health and safety, safeguarding, equality, diversity, and data protection requirements.
  • Continuously develop skills and knowledge to support service delivery.
  • Work flexibly across the department and support emergency response activities when required.
  • Undertake additional duties appropriate to the level and responsibilities of the post.

Essential Qualifications and Experience

Qualifications

  • 5 GCSEs (Grades A-C or equivalent), including English Language and Mathematics.

OR

  • A minimum of 4 years' relevant administrative experience.

Experience

  • At least 2 years' administrative experience.
  • Experience dealing with members of the public and responding to enquiries from a range of stakeholders.
  • Experience of data input, maintenance, and retrieval.

Essential Skills and Knowledge

  • Strong organisational and planning skills.
  • Excellent customer service and communication skills.
  • Ability to work effectively within a small team and independently when required.
  • High level of discretion and confidentiality.
  • Competent in Microsoft Office applications including Word, Excel, and Outlook.
  • Strong attention to detail and accuracy in record keeping and administration.

Additional Requirements

  • Full current driving licence and access to suitable transport to undertake the duties of the post (reasonable adjustments will be considered where applicable).
  • Willingness to work occasional evenings and outside normal office hours to support events and service delivery.
