Clerical Officer
Location: Belfast Trust, Knockbracken Healthcare Park
Hours: Full-Time, Monday-Friday, 9am-5pm
Pay Rate: £12.31 per hour
Job Summary
Clerical Officers provide administrative/clerical support in a variety of different settings within the Trust. They work as an integral member of a team under the supervision of their immediate line manager.
The post holder will be responsible for a wide range of clerical/administrative tasks to support/assist in the effective and efficient provision of services within their department.
Main Duties
- Ensure timely and accurate data is entered onto CIS, e.g. Epic, Careline live.
- Ensure accurate data entry for processing of staff pay, including timesheets, leave, additional hours and travel information to meet payroll deadlines.
- Use of computer systems to include data input and retrieval of information
- Use IT systems available to record and produce work of a consistently high standard
- Manual calculation of average hours based on hours worked on submitted timesheets while following strict guidelines and rules of pay processes.
- Manual calculation of Working Time Directive (WTD) based on hours worked on submitted timesheets
- Process and collating information
- Ensure allocations are carried out for the upcoming month and input into Careline capturing e.g. days off, sick leave, annual leave for all patches. Ensuring accuracy on recording of allocations for management reporting.
- Use of Microsoft office to include, word, excel and outlook.
- Update information in regards to deadlines and communication to appropriate Homecare staff
- Answering queries in relation to Pay, reviewing timesheets and following up with Home Care Coordinator or BSO Payroll where appropriate.
- Deal with day to day queries as appropriate
- Reception duties
- Responsibility to ensure that the phone lines are manned; telephone calls are screened and diverted appropriately and take appropriate action.
- Taking and relaying message/information
- Keep accurate and timely records of all relevant forms from Coordinators and spreadsheets - Bank sheets, Fortnightly & Monthly timesheets, HCW's annual leave & mileage.
- Responsible for scanning and photocopying weekly bank sheets, fortnightly & monthly timesheets, mileage claims and creating and maintaining and electronic filing systems.
- Maintenance and manual upkeep of filing and archiving systems in line with HPSS Guidance for Managing Records - Good Management, Good Records.
- Work closely with colleagues in other areas of the Home Care Service.
- Making up of new service starts and patient packs.
- Open, distribute and re-direct mail as appropriate.
- Maintain standards of confidentiality regarding all information held in respect of service users and professional staff.
- General office duties such as photocopying, filing and archiving
- Liaise with other departments
- Liaise with client, staff and departments internal and external to the Trust to ensure a full and efficient service
- Any other duties as appropriate.
Essential Criteria
4 GCSEs at Grades A-C including English or English Language (excluding English Literature) and Mathematics or equivalent / higher qualification
OR 2 years' experience in a clerical / administrative role.
Experience in the use of Microsoft office products or equivalent.
