Job description

Our Client, A Large Public Sector Organisation based in Coleraine require a Corporate Support Assistant to join their team.

Location : Coleraine

Hours of work : Monday to Friday - 37 hrs per week.

Hourly Rate : 1-12 weeks £ 12.74 13 weeks + £13.69

Main Duties :

  • Assist with the provision of business support in all areas of the Democratic and Central Services Department including the provision of business support to the Mayor's office.
  • Assist with the provision of business support in the Corporate Services Directorate (where required with the agreement of the Democratic and Central Services Manager).
  • Assist with the organisation of Mayor's events, official visits and receptions and attend, as required, outside of office hours and provide catering support, where necessary.
  • Assist with the provision of administrative support for Civic and Corporate Events, as required, including but not limited to the issue of invitations, follow up replies, preparation of attendance registers, liaison with printers and other suppliers on delivery of goods and services.
  • Provide cover for the Civic Support Officer(s) and the Corporate Support Officers, including covering meetings of the Senior Management Team and the monitoring of the Council's comments @ inbox and complaints correspondence.
  • Monitoring the Council's info@inbox on a daily basis and process correspondence in accordance with agreed procedures and process mail received in hard copy for the Department.
  • Process, code and prepare invoices for approval for the Democratic and Central Services section as required.
  • Maintain and store supplies of stationery for the Department and order as required in line with relevant procedure.
  • Assist with administrative support for the delivery of the Elected Members' development programme, including follow up replies, undertaking arrangements for room booking, IT provision, preparation of attendance records and programme details; oversee arrangements at daily and evening Training delivery sessions and attend.
  • Assist with administrative support for processing of conferences and courses bookings for all elected members and maintaining records.
  • Prepare copies of Council/Committee/Sub-Committee Agenda and Report files for Chief Executive/Director/Mayor/Chair, as required including printing and posting of agenda and report items to Elected Members, as required.

Essential Criteria :

  • Minimum of five GCSEs at grade C or above, or equivalent, including English Language

And

  • At least one years clerical/administrative experience in local government which has involved assisting in diary/events organization.

OR

  • At least 2 years experience as detailed above.

  • Knowledge of local government and its services

  • Competent in use of Microsoft Office i.e. Windows, Outlook, Excel, Powerpoint and Internet Explorer
