Staffline are recruiting on behalf of NHSCT for a Band 3 Higher Clerical Officer required on a temporary basis based in Antrim

Role: Band 3 Higher Clerical Officer

Rate of Pay: £12.31

Location: Antrim

Hours: 37.5hrs

Duration: Temporary ongoing

Main duties/Responsibilities:

The post holder will be responsible for working as part of a team and on his/her own initiative within a busy Radiology Service, providing efficient and effective administrative service to the Radiology Directorate.

  • Act as a main link for enquiries from within and outside the department an ensure that all information/messages are communicated to relevant staff in an appropriate and timely manner.
  • Reception duties - first point of contact with radiology patients to include outpatient reception duties, dealing with GP Rapid Response referrals and visiting clinic schedule management.
  • Appointing duties - using Radiology Information System and Encompass to make, reschedule, cancel and manage appointments appropriately in line with IEAP policy.
  • Partial booking duties - dealing with patient enquiries, appointment bookings, waiting lists etc.
  • Telephone duties - dealing with departmental enquiries, which may include taking and passing on of clear and concise messages; and obtaining and passing on of information extracted from records/computer systems.
  • Comply with all relevant administrative work instructions to ensure safe and effective running of administrative services.
  • To check on a daily basis that Radiology recommendations are acted upon by the referrer.
  • To undertake NIPACS safety lists and admin folder lists as directed on a daily / weekly basis.
  • Daily/Urgent report run - Monitoring of worklist throughout the day and printing, sorting and communicating reports including urgent reports by email or phone if required.
  • Allocation of scans for reporting to radiologists including expediting any urgent requests via the Allocation email account.
  • Participate in the Radiographer of the Day (ROD) Co-ordinator role on a rota basis.
  • Private Image upload using IEP system and export images as appropriate.
  • Liaison with all stakeholders including professional staff across the Trust, Primary care, Independent Sector providers, other Trusts and multidisciplinary staff .
  • Deal with patient related enquiries maintaining confidentiality at all times.
  • Deal courteously with patients/service users and others with whom they come into contact with in the course of their duties.
  • Responsibility to escalate if necessary to senior management, radiographers, radiologists, modality leads, PACs team where appropriate.
  • The employee will use the Encompass computerised system and full training will be given.
  • Deal with complaints from patients and other departments.
  • Participation in the induction and training of staff within the section and monitoring their progress / development in liaison with the Team Leader.
  • Be familiar with the rules and regulation applicable to the department.
  • Treating each patient / staff member as an individual in terms of courtesy, confidentiality, kindness and sympathy.
  • Participate in projects for the development of the Service as directed by senior management.
  • To follow all Trust policies and protocols including departmental radiology work instructions.
  • Attend mandatory training and training updates as required.
  • Report any incidents or concerns involving patients, staff or equipment.
  • Participate in the Trust's appraisal conversations.
  • Participate in flexible working arrangements to include working on evenings/weekends and Bank Holidays subject to the needs of the Department.
  • Work in a co-operative and collaborative manner with other staff to ensure smooth running of imaging sessions.
  • To adhere to IR(ME)R 2000 within the department.
  • Work in a safe manner with regard to the use of Ionising Radiation complying with relevant Trust/Departmental policies.
  • Participate and contribute to the Radiology Quality Management System, and corresponding Quality Standard for Imaging (QSI) accreditation process.
  • Undertake duties, which are required to ensure adequate standards of environmental hygiene and prevent cross infection.
  • Any other duties and responsibilities appropriate to the grade as directed by Senior managers.

Essential Criteria:

5 GCSEs Grade A-C to include English & Maths or equivalent PLUS 1 years Clerical / Admin experience

Or

GCSE Maths and English (Grade A-C) Plus 2 years Clerical / Admin experience

In addition applicants must possess 1 year's experience in the use of Microsoft Office Suite to include Excel and Word Processing.
