The Client: Northern Ireland Housing Executive
The Role:
The key responsibilities of the role are:
- Provide comprehensive administrative support related to the work of the local office.
- Provide support to the temporary accommodation team for South Down.
- Organise and provide administrative support for meetings, including scheduling diaries, circulating papers, booking venues and preparing meeting rooms and equipment.
- Attend meetings and prepare timely records and minutes of meetings for review by the Area Manager and distribution to attendees.
- Gather data from systems and reports to assist with responses to Public Affairs Requests, Subject Access Requests, Freedom of Information Requests and complaints.
- Assist in the preparation, validation and presentation of statistical information for inclusion within written reports for senior management.
- Ensure that communications (post, telephone, email, face to face), pertaining to the business unit are recorded and communicated to relevant officers for further action.
- Liaise with a wide range of internal and external stakeholders including, but not limited to, temporary accommodation providers, housing customers, other statutory agencies, and internal NIHE departments.

ESSENTIAL CRITERIA:
Applicants must provide evidence by the closing date for application that they meet the following essential criteria:
- Hold a BTEC National or equivalent Professional or Technical qualification* (Level 3) or above and a minimum of 1 year's relevant** general administrative experience.
OR
- Have five GCSEs* (Level 2) grade A to C including English and Mathematics, or equivalent qualification or above and a minimum of 2 years' relevant general administrative experience.
OR
- iii) Can demonstrate equivalent continuing professional development, learning through experience and a minimum of 3 years' relevant** general administrative experience.
- Candidates must demonstrate their relevant experience, for the number of years required depending on their level of qualification, in all 3 of the following areas:
- Office Administration duties: Providing efficient, organised and accurate recording and storage of information in line with organisational policies and procedures providing examples of same. (300 words max)
- Work effectively under pressure to meet tight deadlines within a team environment and independently, including examples of same. (300 words
max)
- Communication: Working effectively with others in a team to achieve shared goals in the delivery of the service, including demonstrating effective communication skills. (300 words max)
- Possess a current driving licence or have access to a form of transport that enables them to meet the requirements of the post in full including with reasonable travel timeframes.
Note: If successful you must be prepared to have an Access NI clearance check carried out
