Administration Officer

Location: Belfast
Hours: Full-time, 37 hours per week
Salary: £26,449 per annum

About AFBI & the Agri-Environment Branch

The Agri-Food and Biosciences Institute (AFBI) delivers world-class science to support agriculture, the environment, and the wider economy. Sponsored by the Department of Agriculture, Environment and Rural Affairs (DAERA), AFBI provides evidence-based research and monitoring that informs government policy and promotes sustainability in Northern Ireland and beyond.

Key Responsibilities

Invoice Processing:

  • Accurately process supplier invoices, ensuring correct coding, approvals, and timely payment in line with company policies.

Staff Expense Processing:

  • Review and verify staff expense claims, ensuring compliance with company procedures and resolving any discrepancies promptly.

Accounts Receivable (AR) Support:

  • Assist with AR duties, including raising invoices, monitoring outstanding payments, reconciling accounts, and following up with customers as required.

Customer Email Enquiries:

  • Respond to customer queries via email in a professional and timely manner, providing accurate information and resolving issues effectively.

Customer Telephone Queries:

  • Handle incoming customer calls, ensuring a high standard of service and escalating complex issues where necessary.

Data Entry and Record Management:

  • Maintain accurate financial and administrative records, ensuring information is up to date and stored in accordance with data protection requirements.

Administrative Support:

  • Provide general administrative assistance to the finance and operations teams, including filing, document preparation, and coordination of internal communications.

Process Improvement:

  • Identify opportunities to streamline administrative processes, contributing to improved efficiency and accuracy across financial operations.

Essential Criteria

  • 2 GCSEs to include English and Maths at Grade A - C
  • A good level of communication skills, including the ability to communicate confidently and persuasively with colleagues, in person and in writing.
  • Experience in an administrative support role with an element of (internal or external) customer support.
  • Experience in the use of information technology including the main MS Office applications Word, Outlook, Excel and Teams.
