The Client: Local Public organisation based in Lisburn, serving local residents.

The Role: As a member of the Community Development & Resources Team the postholder will be required to:  Provide and develop a high quality administrative support service across the Community Development & Resources team. Ensure the efficient and effective day to day operations of the administrative office and support the work of staff across the team. Contribute to the development of processes and systems to ensure continuous service improvement

Responsibilities:

  • Provide a comprehensive administrative service to support staff of the relevant service areas (see below) and provide interchangeability at administrator level, in all designated areas.
  • Provide a high-quality customer service to support user groups, community / voluntary groups and other beneficiaries to access the various elements of the service in line with Council policies and processes.
  • Process and review information, claims, payments and applications in line with Council procedures using both computerised and manual systems
  • Responsible for maintaining documents and records management system for the service.
  • Responsible for efficient administration, to include input, maintaining and update, of Community Development & Resources Information Systems.
  • Responsible for ensuring Information Systems are operating to maximum efficiency and effectiveness and ensuring integrity and accuracy of the data held on systems.
  • Administration of Community Development & Resources invoices to include raising purchase orders, coding and payment in accordance with agreed timescales and procedures.
  • As directed, assist with the preparation of Monthly / Year End Reports and assist in preparing reports and statistical returns to relevant Council Departments, external bodies and Council Committees.
  • Promote equality of opportunity and access in service delivery and in employment of staff through the mainstreaming of equality within the Council.

Note: The postholder should be aware that the responsibilities and functional areas of the post may be subject to change as a result of organisational change.

  • The Council therefore reserves the right to change the duties of the post by adding to or amending the range of functional responsibilities. The post holder will be required to be flexible and adaptable to meet the changing needs and requirements of the organisation.

Hours of work: 37.5hrs per week, Monday to Friday

Requirements:

  • 4 GCSEs at grades A-C to including English Language and Mathematics or equivalent AND 1 years experience providing administrative/clerical support OR in lieu of qualifications then 3 years experience in providing administrative/clerical support
  • Customer Service experience
  • Competent in the use of Microsoft Office applications including Word, Excel and Outlook
