Staffline are hirining an Access to Healthcare Assistant Band 2 on behalf of the WHSCT :

PERSONNEL SPECIFICATION

JOB TITLE AND BAND: Clerical Officer (Band 2)

DEPARTMENT / DIRECTORATE: Records Management, Performance Management & Service Improvement

LOCATION: Maple Villa, Gransha Park, Londonderry

DATE: September 2025

Hours : 37.5

ESSENTIAL CRITERIA

Experience / Qualifications/ Registration :

A minimum of 5 GCSE's (Grades A-C) including English Language or equivalent or a higher educational standard.

OR

2 year's administrative / clerical experience

In addition to one of the above:

Applicants must demonstrate experience using Microsoft Office in the workplace.

Skills / Abilities/ Knowledge :

Good computer skills to include working knowledge of Microsoft office computer software packages.

Good general knowledge of Trust structures and staff groups / services / record systems in use

Awareness of data security & confidentiality issues.

Personal Qualities / Competencies :

Good communication and interpersonal skills

Good office administration skills / office procedures

Ability to be proactive and work on own initiative

Good team worker

Methodical and attention to detail

Good organisational skills

Ability to prioritise work and meet strict deadlines

Additional Experience : Experience in an information / Records setting

MAIN DUTIES & RESPONSIBILITIES

  • Maintenance of general filing systems

  • Operation of computerized information system.

  • Recording and distribution of incoming mail/post and dealing with routine correspondence and outgoing mail and distribution to relevant staff.

  • Prioritise and organise work effectively.

  • Answering telephone calls and responding appropriately.

  • Faxing and photocopying duties.

  • Retrieval and returning of records to the records management library.

  • Destruction of records in line with trust policies.

  • Manual lifting, at times records will need to be moved around the library to facilitate the input of new records.

  • Liaising within the team, and with other departments, agencies etc.

  • Compliance with all relevant legislation relating and Trust policies relating to data protection and confidentiality of information.

  • Ordering stationery and ensuring adequate supplies are maintained.

  • Performance of all general administrative tasks as appropriate.

  • Assist with the production, presentation and distribution of written documentation using Microsoft Word, including letters, memos, funding submissions and reports.

  • Completion of all Mandatory training.

  • To undertake any other duties required within the scope and framework of the post and requirements of the department.
