The Role: Support Services Supervisor - Catering

JOB SUMMARY

The Support Services Supervisor will be responsible for the co-ordination of all Support Services (Catering, Domestic and Portering) in the designated areas of responsibility, to ensure that a high quality environmental cleanliness, catering and portering service are provided and maintained which supports the delivery of patient centred care.

KEY DUTIES/RESPONSIBILITIES

The post-holder will be required to carry out a range of duties which may include the following:-

  • To audit, monitor and maintain acceptable levels of environmental cleanliness and catering services in all areas of responsibility including agreeing action plans and ensuring outcomes are achieved.
  • To assist in the planning and supervision of work schedules and ensure that they are adhered to by staff.
  • To assist in the planning and supervision of specialist cleaning.
  • To supervise discharge/terminal/isolation cleaning.
  • To monitor standards in ward kitchens to ensure food and equipment temperatures are monitored and recorded.
  • To maintain stocks of catering provisions, cleaning materials, cleaning consumables and chemicals within designated area and complete orders as necessary.
  • To ensure that all catering/domestic stores including equipment are maintained in a clean, hygienic, safe and secure condition.
  • To supervise the issue and control of keys.
  • To report and record all faults/defects in equipment/work environment, as appropriate, to the Head of Department/Estates/Assistant Manager immediately.
  • To report and record all accidents/incidents.
  • To ensure compliance with all Health and Safety/COSHH/Colour coding/Environmental Cleanliness/Waste Management/Food Hygiene Procedures and Food Safety Regulations (this includes the wearing of protective clothing).
  • To practice a good standard of hygiene in all aspects of work, and maintain a high standard of personal hygiene for yourself and the team.
  • To complete staff uniform audits and take appropriate action.
  • To participate in on the job training of staff and organise mandatory training to ensure that they are fully trained and competent to undertake their duties and update and monitor training records as required.
  • To plan and implement duty rotas and organise cover as appropriate ensuring maximum use of resources.
  • To complete Timesheets for Salaries and Wages when required, and maintain associated records.
  • To assist in the management and recording of staff discipline, grievances and management of sickness absence.
  • To attend all mandatory and other training when scheduled and apply it to the job.
  • To participate in the handling of complaints in line with Trust policy.
  • To establish and maintain sound working relationships with Ward Managers/Heads of Departments.
  • Carry out cash handling duties as required.

HUMAN RESOURCE MANAGEMENT RESPONSIBILITIES

  • Review individually, at least annually, the performance of immediately subordinate staff, provides guidance on personal development requirements and advises on and initiates, where appropriate, further training.
  • Maintain staff relationships and morale amongst the staff reporting to him/her.
  • Review the organisation plan and establishment level of the service for which he/she is responsible to ensure that each is consistent with achieving objectives, and recommend change where appropriate.
  • Delegate appropriate responsibility and authority to the level of staff within his/her control consistent with effective decision making, while retaining overall responsibility and accountability for results.
  • Participate, as required, in the selection and appointment of staff reporting to him/her in accordance with procedures laid down by the Trust.
  • Take such action as may be necessary in disciplinary matters in accordance with procedures laid down by the Trust.

GENERAL REQUIREMENTS

The post holder will be required to:

  • Assist the organisation in fulfilling its statutory duties under Section 75 of the Northern Ireland Act 1998 to promote equality of opportunity and good relations and under the Disability Discrimination (Northern Ireland) Order 2006. Staff are also required to support the organisation in complying with its obligations under Human Rights Legislation.

    • Smoke Free policy
    • IT Security Policy and Code of Conduct
    • Standards of attendance, appearance and behaviour
  • Contribute to ensuring the highest standards of environmental cleanliness within your designated area of work.
  • Co-operate fully with regard to Trust policies and procedures relating to infection prevention and control.
  • Take responsibility to minimise the Trust's environmental impact wherever possible. This will include recycling, switching off lights, computers, monitors and equipment when not in use. Helping to reduce paper waste by minimising printing/copying and reducing water usage, reporting faults and heating/cooling concerns promptly and minimising travel.
  • All employees of the Organisation are legally responsible for all records held, created or used as part of their business within the [org name] including patients/clients, corporate and administrative records whether paper-based or electronic and also including emails. All such records are public records and are accessible to the general public, with limited exceptions, under the Freedom of Information act 2000 the Environmental Information Regulations 2004, the General Data Protection Regulations (GDPR) and the Data Protection Act 2018. Employees are required to be conversant with the Trust policy and procedures on records management and to seek advice if in doubt.
  • Take responsibility for his/her own ongoing learning and development, in order to maximise his/her potential and continue to meet the demands of the post.
  • Represent The Organisation's commitment to providing the highest possible standard of service to patients/clients and members of the public, by treating all those with whom he/she comes into contact in the course of work, in a pleasant, courteous and respectful manner.

This Job Description will be subject to review in the light of changing circumstances and is not intended to be rigid and inflexible but should be regarded as providing guidelines within which the individual works. Other duties of a similar nature and appropriate to the grade may be assigned from time to time.

It is a standard condition that all Trust staff may be required to serve at any location within the Trust's area, as needs of the service demand.

Hours of work: Full-time: 37.5 hours

Requirements:

  • Two years' experience in a support services role in a Healthcare/ Service Industry or public sector organisation.
  • Demonstrate experience of basic computer skills, ie experience in the use of packages such as Email, Word or Excel for example.
  • Effective communication skills to meet the needs of the post.
  • Ability to lead a team and to supervise and coordinate staff on a day to day basis.
  • Ability to accept responsibility, to use initiative, to be accountable and cope with difficult situations in a calm manner.
  • Ability to train staff in job related tasks.
  • Good planning and organisational skills.
  • Flexible with regard to working arrangements to meet the needs of the service. This could include working weekend and evening rotas.

Other: Hold a current full driving licence which is valid for use in the UK and have access to a car on appointment. This criteria will be waived in the case of applicants whose disability prohibits driving but who have access to a form of transport approved by the Trust which will permit them to carry out the duties of the post.

In Return: £11.67 per hour
