Band 3 Personal Assistant required for a large public sector organisation based through the South Eastern Trust

Location: Ulster Hospital

Pay Per Hour: £11.67

Working Hours: 8am - 4pm Monday - Friday

JOB SUMMARY/MAIN PURPOSE:

The Trust provides a wide range of services and employs Secretaries in a wide variety of settings. Secretaries provide a secretarial/administrative service/support within a department/section.

To carry out a wide range of secretarial/administrative tasks including the use of work processing/audio typing/shorthand and other computer packages.

MAIN DUTIES / RESPONSIBILITIES

The post holder will be required to carry out a range of duties which may include all or some of the following:-

  • PA support to Assistant Director to include:
    • Email management
    • Support for meetings - booking rooms, typing agendas, sending out and collating documentation for meeting, typing minutes
    • Booking travel and courses when applicable
    • Diary management
  • Admin Support to Senior Nursing Team to include but not exhaustive:
    • Support for meetings as listed above
    • Booking rooms
    • Collating documentation for training
    • Typing up, printing and laminating information sheets for display within ED and Minor Injury Unit

ESSENTIAL CRITERIA

4 GCSE's Grades A-C to include English Language (or equivalent qualification) plus 1 year's Secretarial/admin/clerical experience

OR

NVQ Level 2 in Administration (or equivalent qualification) plus 1 year's secretarial/admin/clerical experience

OR

2 year's secretarial/admin/clerical experience.

RSA/OCR Stage II Text Processing Part 1 and Part II (or equivalent/above qualification)

OR

1 year's word processing experience, to include typing and formatting of reports and letters.

Experience in using Microsoft packages to include WORD, EXCEL, and OUTLOOK

DESIRABLE CRITERIA

Experience of using a computerised database.

Experience in the effective use of office admin systems such as diary management and filing systems.
