Senior Administrator required for Fivemiletown area

Hours of Work: 9am-5pm Monday - Friday

Office based role

Salary depending on experience

Key Duties and Responsibilities

  • Manage the day-to-day administrative needs of the team; with appropriate systems, procurement processes, policies, procedures and practices to meet the needs of the projects
  • Handling correspondence on behalf of Managers
  • Travel and Itinerary management
  • Scheduling meetings / Calendar Management
  • Managing internal and external correspondence on behalf of senior management.
  • Scheduling appointments, maintaining an events calendar, and sending reminders.
  • Developing, maintaining and enhancing effective working relationships with a wide range of external contacts which will include members of the public, the statutory and voluntary/community sector, colleagues and other appropriate stakeholders.
  • Respond to telephone and email enquiries from all stakeholders in an efficient and effective manner.
  • Issue correspondence and general office duties.
  • Entering data, maintaining databases, and keeping records.
  • To complete monitoring and evaluation documentation and returns in line with specified requirements when required.
  • To engage in processes and activities to further the stated objectives of the organization.
  • To build relationships with statutory agencies, funding bodies and other service providers to develop referral services, networking and developmental opportunities.
  • Preparing facilities for scheduled events and arranging refreshments, if required.
  • Ordering office supplies and replacements, as well as managing mail and courier services.
  • Dealing with clients/visitors
  • Planning and organizing work to ensure the most effective use of available time and re-sources.
  • Obtaining and organizing information and resources to support work activities in line with policies and procedures
  • Working to tight deadlines and having the ability to work under pressure.
  • Identifying and interpreting problems, generating solutions and taking appropriate action to deliver solutions
  • Ability to communicate effectively both orally and in writing. Having the ability to receive, process and gather relevant and at times, complex information and to communicate in-formation and advice in a manner that is understood, is timely and is tailored to the needs of the recipient
  • Ensure that good governance and effective controls are in place and maintain a strategy for the management of risk

Who We're Looking For:

Essential Skills & Experience:

  • Minimum 2 years' experience in a busy Senior Administration / PA role
  • Proven track record of successfully forging, managing and maintaining constructive working relationships with all stakeholders to develop solutions to difficult or contentious is-sues.
  • PC Literate with Excel experience essential.
  • Customer Service experience - dealing with queries, enquiries and complaints
  • Excellent communication skills - both written and verbal
  • Ability to work with people, both internal and external clients
